Facility Manager/Site Lead

Role & responsibilities

1. Facility Operations Management:
• Oversee all facility operations at Pharma ( Unit no 1, 2 & 3 API , Formulation & Utilities engineering operation, ensuring compliance with client-specific requirements and regulatory standards.
• Supervise the delivery of engineering services (maintenance, housekeeping, security, waste management, etc.) as per the agreed service level agreements (SLAs).
• Ensure the facility is maintained in a audit ready condition, with a focus on cleanliness, safety, and adherence to GMP (Good Manufacturing Practices)and SOPs (Standard Operating Procedures).
• Ensure that all staff are trained in line with the clients requirements of the Pharma Environments / GMP norms.
• Ensure that works are carried out in line with the GMP standards and governance set out in the Clients SOP.
• Develop a culture of recognition, reward, continuous improvement and right first time, which promotes a Zero Unplanned Downtime mentality.
• ISS engineering risk control requirements are being met and for the controls to successfully pass operational effectiveness testing and audit
• Ensure the completion of tasks that will assist Clients engineering risk controls aligned to ISS risk controls successfully passing operational effectiveness testing and audit.
2. Team Leadership & Management:
• Lead, manage, and mentor a team of engineers, supervisors and workers across different facility services.
• Provide regular training, skill development, and performance reviews for team members to foster continuous improvement.
• Ensure all staff follow safety protocols, client policies, and quality standards.
3. Health, Safety & Compliance:
• Implement, monitor, and enforce the Health, Safety, and Environment (HSE) policies and procedures at the site, ensuring a safe working environment for all employees and visitors.
• Ensuring Safe Systems of Work processes and procedures are at the forefront of ISS Scope delivery and upheld to the highest standards.
• Be appointed as a Senior Authorised Person (SAP) or Authorising Engineer (AE)
• Support on-going adherence to health and safety standards in accordance with local Health and account requirements.
• Regularly review and ensure compliance with all relevant legal, regulatory, and contractual requirements.
• Lead risk assessments and corrective actions in case of any incidents, ensuring minimal disruption to operations.

4. Client Relationship Management:
• Serve as the primary point of contact between ISS Facility Services and Client for all matters related to facility management.
• Regularly meet with Clients representatives to discuss performance, address concerns, and ensure overall satisfaction.
• Provide timely reports and updates to the client on the status of the facility, including maintenance schedules, safety initiatives, and ongoing improvements.
5. Vendor & Contractor Management:
• Oversee the management and coordination of third-party vendors and contractors providing specialized services.
• Ensure vendors meet their contractual obligations, and their services are up to the quality and compliance standards expected by client.
• Monitor and approve invoices for contractor services, ensuring adherence to budget and financial forecasts.
6. Budget & Cost Management:
• Develop and manage the facility operations budget for the site.
• Implement cost-control measures and optimize resource utilization to achieve financial targets.
• Track expenditure and recommend cost-saving initiatives while maintaining service quality.
7. Emergency & Crisis Management:
• Develop and implement emergency response plans for the site (fire safety, evacuation plans, medical emergencies).
• Act as the first point of contact during any emergencies or facility-related crises, ensuring a swift and efficient resolution.
8. Continuous Improvement:
• Identify and implement continuous improvement initiatives to enhance service delivery, efficiency, and safety.
• Regularly evaluate existing processes, identify bottlenecks, and optimize workflows for better operational outcomes.
9. Reporting & Documentation:
• Ensure all required operational and maintenance documentation is maintained and up to date (e.g., daily logs, maintenance schedules, safety audits as per GMP guidelines & Client defined SOPs).
