Manager-Order Management

Role & responsibilities

Key Responsibilities:

• Overall Technical responsibility for interpreting, organizing, executing and coordinating Customer Service Assignments.
• Receives the Customer Purchase Orders, review them for completeness and accuracy which includes product configuration and verifying terms and prices according to contracts.
• Expedites order delays or problems internally, working closely with manufacturing to maintain order schedules.
• Ensure high levels of customer satisfaction through prompt communication of open and closed order status. Also resolve any order related issues.
• Works closely and supports the site team with scheduling functions.
• Works closely with manufacturing, sales and project to solve customer problems and work towards customer satisfaction.
• Providing central point of contact for all the change requests.
• Inform higher officials on the status of orders to ensure smooth handover.
• Administrate all correspondence with customers and sub-contractors.
• Update the back office system with customer data and ensure delivery deadlines.
• Contact Customers to gather site specific information required for the implementation of orders. Validate incoming orders and update missing data.
• Participate in various projects to support the business.
• Coordinating with customer, design, detailing and manufacturing to get the drawings and dispatch of materials.
• Responsible for preparing weekly / monthly / job reports.
• Project planning, scheduling & monitoring related to project cost parameter.
• Reviewing the contract terms & conditions, payment terms and delivery terms, in accordance with the companys policies & procedures.
• Maintaining close coordination with all departments at all times to meet the delivery schedules.
• Coordinating with Quality Control department to review the customer claims and complaints in line with the established procedure.
• Maintaining healthy working relations with all customers, consultants, distributors, agents and Builders when directly in contact with them.
• Monitoring the flow of work to increase efficiency.
• Deviation recording & consequence analysis, Project tracking for timelines.
• Coordinating between internal departments i.e. sales, designs, detailing, production & accounts for smooth progress of projects.
• Coordinate with different departments as Marketing, Design & Drafting, Production, Inventory, Projects; Erection department & respected client to ensure the successful completion of assigned PEB Project.
• To expedite all the process related General Arrangement design release and approval, BOQ release, production of required material, dispatch of material, deployment of site engineer.
• Documentation like writing a letter for queries, approval and for time extension.
• Tracking of payment of all running projects as per contract terms.
• Attend meetings with client whenever required as per the project progress.

Strategic thinker with a proactive approach to commercial risk management.

Experience in handling commercial litigations and dispute resolution is an advantage.
