Key skills for the job
1. Administrative Support: Provide administrative assistance to the General Manager, Operations Manager. Handle scheduling, calendar management, and coordinate meetings, both internal and external. Organize and maintain office files, documents, and records, ensuring all paperwork is accurate and up-to-date.
2. Back Office Operations: Perform routine data entry tasks and maintain accurate records for operational processes and client-related data. Assist with inventory management, ensuring supplies are tracked, restocked, and properly documented. Compile and prepare reports on daily operations, bookings, and performance metrics.
3. Executive Assistance: Handle communication on behalf of senior management, including drafting and responding to emails, phone calls, and other correspondence. Organize travel arrangements, including flight bookings, hotel reservations, and transportation for the management team. Prepare presentations and reports for meetings and assist in other tasks as requested by the leadership team.
4. Project & Event Coordination: Assist in planning and coordinating any events, promotions, or projects being handled by the senior management or operations team. Help track timelines, budgets, and ensure all deliverables are met in a timely manner.
5. Confidentiality & Discretion: Handle sensitive information with the highest level of confidentiality and integrity. Maintain professionalism in all interactions with clients, staff, and external partners.
Job Expectations:The Back Office Executive at Della Adventure & Resorts, you will play a key role in handling administrative and operational back-office tasks while also assisting senior management with executive support. The role is crucial in maintaining the smooth running of day-to-day operations and ensuring the leadership team is well-supported in their decision-making and overall tasks. You will be responsible for managing records, coordinating with various departments, handling executive correspondence, and providing support in key administrative areas.
