Qualification M.B.A. with 5 plus years of experience / Retired Army officer with administrative experience in school/Institutions.
Key Responsibilities:
Office Management:
Oversee day-to-day office operations to ensure efficiency and productivity.
Manage office supplies, inventory, and equipment maintenance, ensuring timely replenishment and operational readiness.
Coordinate office maintenance, repairs, and ensure a safe and clean working environment.
Scheduling & Coordination:
Manage calendars and schedule appointments, meetings, and travel arrangements for senior management and staff.
Organize and coordinate company events, conferences, meetings, and workshops.
Serve as a liaison for internal and external communications, managing scheduling and agendas.
Document Management:
Maintain and organize company files, records, and documentation in both electronic and paper formats.
Assist in the preparation and editing of documents, reports, presentations, and correspondence.
Ensure proper handling of confidential information and adherence to data protection policies.
Financial & Budget Support:
Assist in budget preparation and manage administrative expenses.
Process invoices, purchase orders, and track expenses related to office administration.
Ensure adherence to budgetary constraints and highlight any financial discrepancies or issues.
Communication & Correspondence:
Serve as the first point of contact for visitors, phone calls, and inquiries.
Draft, proofread, and distribute internal and external communications on behalf of the management team.
Coordinate with vendors, clients, and service providers to arrange necessary resources and services.
Human Resources Support:
Provide administrative support for the HR department, including managing employee records and assisting with onboarding processes.
Coordinate training schedules, meetings, and employee-related events.
Assist with employee benefits administration and other HR-related tasks as needed.
Compliance & Reporting:
Ensure compliance with company policies, legal requirements, and industry regulations.
Prepare and submit regular reports on office operations, administrative activities, and any relevant metrics.
