Key Responsibilities:
Event Logistics Management:
- Coordinate all logistical aspects of events, including transportation, equipment, staffing, and vendor management.
- Ensure timely delivery and setup of materials, equipment, and signage at the event venue.
- Liaise with vendors and suppliers to ensure they meet the required standards and timelines.
Timeline & Budget Management:
- Develop and maintain event timelines, ensuring all key milestones and deadlines are met.
- Monitor and manage the event budget, ensuring all operational costs are within allocated limits.
- Assist with cost negotiations and vendor contracts as required.
On-site Event Coordination:
- Oversee the smooth execution of events on-site, ensuring all logistics are in place.
- Supervise the setup, event flow, and breakdown, ensuring that all operational aspects are executed flawlessly.
- Handle any issues or last-minute changes that may arise during event execution.
Team Coordination & Staff Management:
- Coordinate with event staff, ensuring roles and responsibilities are clearly defined.
- Provide direction and support to staff members during event setup, execution, and breakdown.
- Ensure that staff is trained and briefed on operational procedures and safety protocols.
Client & Stakeholder Communication:
- Act as the key point of contact for clients and other stakeholders during event execution.
- Keep clients informed on event progress, addressing any concerns or changes as they arise.
- Ensure client satisfaction and a smooth event experience.
Health & Safety Compliance:
- Ensure that all event operations comply with safety regulations and standards.
- Conduct risk assessments and implement safety protocols for event staff and attendees.
- Monitor on-site health and safety, addressing any issues immediately.
Post-Event Evaluation:
- Participate in post-event debriefs to evaluate event performance, identify areas for improvement, and gather client feedback.
- Assist in post-event reporting and documentation for future reference and continuous improvement.
Qualifications & Skills:
Education: Bachelor s degree in Event Management, Business Administration, Hospitality, or a related field (preferred).
Experience: 1-3 years of experience in event operations, logistics, or project coordination; prior experience in event management is a plus.
Skills:
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Proficient in Microsoft Office Suite.
