Job Description

The Client Service Executive will be the primary point of contact for clients throughout the event planning process. This role will involve working closely with clients, vendors, and internal teams to ensure seamless communication, high-quality service, and successful event execution. The ideal candidate will be highly organized, proactive, and possess excellent interpersonal skills.
Key Responsibilities:
Client Relationship Management:
- Serve as the main point of contact for clients, ensuring their needs are met and expectations are exceeded.
- Develop and maintain strong relationships with clients before, during, and after events.
- Regularly communicate with clients to provide updates, address concerns, and manage expectations.
Event Planning & Coordination:
- Assist in the planning, organizing, and execution of events, ensuring all aspects are delivered on time and to client specifications.
- Coordinate with vendors, suppliers, and venues to ensure all logistical elements are in place.
- Support the creation of event timelines, agendas, and schedules.
Problem Solving & Client Support:
- Quickly address and resolve any issues or concerns raised by clients before or during the event.
- Anticipate potential challenges and proactively find solutions to avoid disruptions.
- Provide on-site support during events, ensuring everything runs smoothly.
Documentation & Reporting:
- Prepare event proposals, contracts, and other client documentation.
- Keep detailed records of client communications, event plans, and feedback.
- Maintain accurate reports on event progress, client satisfaction, and post-event follow-up.
Collaboration & Teamwork:
- Work closely with internal teams (e.g., creative, logistics, marketing) to ensure that all event elements are aligned with client goals.
- Collaborate with vendors and external stakeholders to ensure service excellence.
Client Feedback & Continuous Improvement:
- Gather client feedback post-event to evaluate satisfaction and identify areas for improvement.
- Contribute to the development of new strategies to enhance client experiences and streamline event operations.
Qualifications & Skills:
Education: Bachelors degree in Event Management, Hospitality, Communications, or a related field (preferred).
Experience: 1-3 years of experience in client service or event coordination; experience in event management is a plus.
Skills:
- Strong communication and interpersonal skills.
- Excellent organizational and time management abilities.
- Attention to detail and ability to handle multiple tasks simultaneously.
- Problem-solving skills and the ability to work under pressure.
- Proficiency in Microsoft Office and event management software (e.g., Eventbrite, Cvent) is a plus.
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
