Job Description

Key Responsibilities:

  1. Employee Code Creation:
    • Generate and assign employee codes for new hires and ensure all necessary records are updated in the HR system.
  2. Employee File Management:
    • Maintain accurate and up-to-date employee records and files (both physical and digital) for compliance and audit purposes.
    • Ensure employee documentation is complete, including contracts, ID proofs, and other relevant documents.
  3. Stakeholder Management:
    • Coordinate with relevant stakeholders (internal teams, hiring managers, departments) to ensure smooth onboarding processes.
    • Address queries and concerns from new hires, managers, and other stakeholders during the onboarding process.
  4. Payroll Inputs Reconciliation:
    • Collect and verify payroll inputs (attendance, leave data, bonuses, etc.) and reconcile them with the payroll team to ensure accurate salary processing.
    • Support with the preparation and submission of payroll data.
  5. Excel Data Management and MIS:
    • Prepare and maintain HR-related reports and MIS in Excel, tracking onboarding progress, new employee data, and other key metrics.
    • Handle data analysis tasks as required, ensuring accuracy and timely delivery of reports.
  6. Background Verification:
    • Oversee and coordinate the background verification process for new employees.
    • Ensure all checks are completed in a timely manner and follow up as needed to resolve any discrepancies.

Skills & Qualifications:

  • Bachelors degree in Human Resources, Business Administration, or a related field.
  • Proven experience in HR administration or onboarding processes.
  • Proficiency in MS Excel, including the ability to handle complex data sets and create reports.
  • Strong attention to detail with a focus on accuracy and efficiency.
  • Excellent communication and interpersonal skills to interact with internal and external stakeholders.
  • Ability to handle sensitive and confidential information with discretion.

Preferred Skills:

  • Familiarity with HRIS systems (Human Resource Information System) is a plus.
  • Experience with payroll and background verification processes.
  • Strong organizational skills and the ability to multitask effectively.
