Job Description

  1. Administration Management:
    • Oversee the day-to-day administration of the office and plant facilities.
    • Manage office supplies, logistics, transportation, and other facilities management.
    • Ensure all office equipment and machinery are functioning optimally and coordinate maintenance.
    • Maintain effective communication with internal departments to ensure smooth operations.
    • Oversee the management of contracts with vendors and service providers.
    • Maintain records, manage internal communication, and organize meetings and events.
    • Handle travel arrangements, accommodation bookings, and employee relocation support.
  2. Security Management:
    • Develop and implement security protocols and policies for both the head office and the plant.
    • Ensure the protection of company assets, personnel, and confidential information.
    • Coordinate with local authorities for security matters.
    • Conduct regular security audits and assessments.
    • Oversee and manage the security team, including hiring, training, and scheduling shifts.
    • Respond to emergencies and manage crisis situations effectively.
    • Monitor security equipment (CCTV, alarms, access control systems) and ensure their proper functionality.
  3. Team Leadership:
    • Lead, mentor, and guide the administrative and security teams.
    • Promote a culture of safety, security, and compliance within the teams.
    • Conduct performance evaluations, set goals, and provide ongoing support to team members.
  4. Compliance & Reporting:
    • Ensure all activities comply with legal, regulatory, and safety standards.
    • Prepare and submit regular reports on administrative and security operations to senior management.
    • Stay updated on best practices and industry standards for administration and security.
  5. Budget Management:
    • Manage budgets for administrative services and security operations.
    • Review and control expenses to ensure cost efficiency.

Key Skills & Qualifications:

  • Bachelor's degree in Business Administration, Security Management, or a related field (Masters preferred).
  • Minimum 10+ years of experience in administration and security management, ideally in a manufacturing or corporate environment.
  • Strong knowledge of security systems, emergency protocols, and risk management.
  • Proven ability to lead teams, manage operations, and handle multiple tasks efficiently.
  • Excellent communication, negotiation, and interpersonal skills.
  • Strong problem-solving skills and the ability to work under pressure.
  • Ability to work collaboratively with various departments and external agencies.
  • Familiarity with legal and regulatory compliance related to security operations.
  • Proficiency in MS Office and other administrative tools.
  • Willingness to travel between Mumbai and Silvassa.
