Job Description

Educational Qualification:

  • Graduate degree in Engineering, Commerce or Management. MBA, Degree in Law Preferred.
  • Certificate or proven exposure to contract lifecycle management.
  • Experience in working in SAP MM, SAP ARIBA CLM / Other CLM tools and Workflow driven Shared Services Environment.
  • Exposure to AI/Automation.
  • Advanced user of Excel functions.

Experiences:

  • 7-10 years of total experience
    • More than 3 years of experience in managing team preferably in a GCC or Shared Services context.
    • 4-5 years of experience in working in Projects, Assets, Infrastructure Manufacturing, Services organization in contract lifecycle management.
  • Exposure to working in Indian conglomerates and working practices in promoter led organizations.
  • Experience in regulatory, statutory and legal aspects of contract administration.
  • Experience of using contract lifecycle management workflow tools.
  • Good coordination and liaising experience through working with multiple departments and vendors.
  • Experience of monitoring transactional data MIS, contract audit and compliance procedures, reporting of SLAs / KPIs and driving continuous improvement.
  • PowerPoint presentation creation and delivery capabilities.

Exposure to work in SharePoint / Tool based environment and project management.

Operations Management
  • Work with Tower Lead - Contract Management in the design of contract lifecycle management transactional support services at GCC.
  • Lead development of policies and SOPs for contract lifecycle management.
  • Drive development of user guides for contract lifecycle management.
  • Lead the setup of initial contracts with standard template & clauses, General T&C and Special T&C as per the finalized PO/ RFP/e-Auction/ negotiations.
  • Drive creation / consolidation of standard contract templates based on contract types - works contracts, project contract, O&M contract, etc. basis the categories/ sub- categories in scope of contract management.
  • Be accountable for services operations, deliverables and outcomes required by the BU assigned within the framework of GCC Scope and SLA for contract lifecycle management.
Transition and Operations Stabilization
  • Support Tower Lead - Contract Management in the finalization of detailed process design and system enablement of contract lifecycle management transactions support services.
  • Responsible to update policies, SOPs SOW and SLA / KPI framework as and when needed.
  • Lead the transition and stabilization of process activities related to contract lifecycle management to GCC.
Customer and Stakeholder engagement
  • Ensure contract setup and coordination with relevant stakeholders including suppliers for contract authoring.
  • Identify key BU / Departmental stakeholders involved/ responsible for contract finalization and initiate relevant contract lifecycle workflow.
  • Coordinate between BU/ Buyer and supplier for any additional contract related information / clarifications / agreements as per negotiation and finalization meeting.
  • Drive the implementation of a communication model - including ad-hoc / informal tele conversations/ face to face meetings, structured Ops review update to all stakeholders.
  • Ensure internal stakeholder signoff on existing and revised SOP/ SLA s and process change requests related to contract lifecycle management.
Operational Delivery and Service Excellence
  • Ensure contract documentation maintenance and upkeep as per contract regulatory, statutory and legal requirements and in adherence to repository guidelines and taxonomy.
  • Program manage all contract inputs required including approvals for any contract extensions, contractual terms & conditions change / amendments to ensure audit compliance and decision traceability.
  • Ensure timely and accurate reporting of contract lifecycle management metrics to support decision-making.
  • Ensure highlighting of any deviations, delays or key risks as per agreed contractual terms and conditions for BU / Buyer attention and consideration.
  • Provide alerts and notifications for all contract changes, upcoming renewals, delays, vendor non-compliance etc.
  • Strive for service excellence by continuously evaluating and enhancing the contract lifecycle management process.
  • Proactively identify and resolve any issues affecting contract lifecycle management service delivery.
People and Performance Management
  • Lead and mentor the contract lifecycle management specialists, fostering a high-performance culture.
  • Set clear performance goals for team members and conduct regular evaluations.
  • Provide coaching and development opportunities to enhance team skills and capabilities.
Operations Process Improvement and Knowledge Management
  • Identify opportunities for process improvements within the contract lifecycle management workflow.
  • Identify and support in implementation of best practices and innovative solutions to enhance operational efficiency and effectiveness.
  • Maintain a centralized knowledge repository for training materials, performance metrics, and process documentation to support continuous improvement (related to contract traceability, audit compliance etc. ) and knowledge sharing.
