Account Payable Specialist

The Accounts Payable Specialist is responsible for managing and processing invoices, ensuring timely and accurate payments to vendors, maintaining accurate financial records, and adhering to company policies and regulatory requirements. This role is integral to the efficient operation of the finance department, supporting overall business operations.

Key Responsibilities

Invoice Management:

• Review, verify, and process invoices for accuracy and compliance with purchase orders and contracts.
• Enter and upload invoices into the accounting system.
• Monitor due dates to ensure timely payment and avoid penalties or late fees.

Vendor Relationship Management:

• Respond promptly to vendor inquiries regarding payment status.
• Maintain and update vendor records, ensuring accuracy and compliance.

Reconciliation and Reporting:

• Reconcile accounts payable transactions and resolve discrepancies.
• Assist with month-end closing activities, including AP reports.

Compliance and Record-Keeping:

• Ensure compliance with company policies, tax regulations, and legal requirements.
• Maintain organized and accurate documentation for audit purposes.

Process Improvement:

• Identify opportunities for streamlining processes and increasing efficiency in AP operations.

Qualifications and Skills

Education:

• Bachelors degree in Accounting, Finance, or related field preferred.
• Relevant certifications (e.g., Certified Accounts Payable Professional - CAPP) are a plus.

Experience:

• 2-5 years of experience in accounts payable or a similar role.
• Proficiency with accounting software (e.g., SAP, Oracle, QuickBooks) and Microsoft Excel.

Skills:

• Strong attention to detail and organizational skills.
• Excellent communication and interpersonal abilities.
• Ability to manage multiple tasks and deadlines.

Technical Proficiency:

• Familiarity with ERP systems and financial reporting tools.
• Understanding of tax laws, GST/VAT, and other compliance requirements
