Senior Executive - Import Procurement

Roles & Responsibilities:

• Manage the entire import procurement process for the organization
• Preparing purchase orders and monitoring delivery dates
• Follow up for deliveries against pending orders
• Dealing with external agencies like shipping company, freight forwarders etc.
• Ensuring adequate, consistent & timely supply of materials at any given point of time
• Follow up sea shipment / Air consignments for quick clearing of Imports
• Monitor shipment schedules and proactively address any delays or issues that may arise during transit
• Follow up with foreign suppliers for the shipping documents i.e. Invoice, Packing list, insurance copy, COO, BL, GATT Declaration, Check list, Container Insurance, BE, custom duty payment and CHA for clearance of cargo within time
• Maintain accurate records of import shipments, including invoices, packing lists, and shipping documents
• Follow up with Overseas Supplier emails (all points in one phone call every day).
• Interaction with vendors & internal stake holders for resolving issues
• Provide timely updates to stakeholders regarding the status of import shipments and any relevant changes in regulations or procedures
• Knowledge of imports and exports procedures
• Knowledge of Inco Terms
• Maintains & monitors market trends, economic conditions, industry news & current knowledge of external factors that could affect availability of goods and pricing; examples include applicable import regulations, taxes, tariffs, and political and economic situations in the countries of origin
• Managing supplier relations and negotiating quotations, prices, timelines, etc.
• Responsible for freight forwarder appointment for Sea & Air mode of shipment
• Oversees delivery dates, quality of production, and sufficiency of product
• Preparing various reports related to import orders, deliveries, container tracking, freight forwarder follow ups, documents follow up with shippers, freight forwarders etc.
• Responsible for preparation of various MIS reports & excel sheet entries and updation
• Track import-related expenses and prepare reports for management review
• Take follow up actions in relation to material shortages that affect production
• Develop and implement strategies for cost savings and efficiency improvements
• Ensure compliance with all applicable laws, regulations, and policies
• Utilize available resources to research and identify potential suppliers
• Analyze purchasing trends and develop long-term procurement strategies
• Identify opportunities for process improvement and implement best practices to enhance efficiency and effectiveness in import logistics operations
• Coordinate import activities including but not limited to customs clearance, transportation, and delivery of goods

Desired Candidate Profile:
• Excellent excel skills
• Excellent communication & negotiation skills
• Knowledge and experience of dealing with freight forwarders
• Material Planning experience
• Knowledge & experience of international procurement
• Sound knowledge of global payment terms, inco-terms etc.
• Sound analytical skills
• Ability to handle and manage internal team and all the above mentioned stakeholders
• Knowledge of Import & Export documentation.

Must be well versed with SAP & T-Codes in SAP
