Senior Executive - Facility (Soft Services)

Role & responsibilities

1. Event Management:

• Support the university events, conferences, meetings, and social functions.
• Coordinate with internal departments and external vendors for event logistics, catering, setup, and technical support.
• Ensure events run smoothly, managing resources efficiently to maintain high service standards.
• Post-event reporting, budget tracking, and feedback collection for continuous improvement.

2. Housekeeping Management:

• Oversee daily housekeeping operations to ensure all areas of the facility are clean, sanitized, and well-maintained across the university.
• Develop housekeeping schedules and checklists for routine and deep cleaning activities.
• Manage and train the housekeeping team or vendors to follow health and safety guidelines, cleanliness standards, and customer satisfaction protocols.
• Ensure proper inventory management of cleaning supplies, tools, and equipment.
• Pantry operation & catering service

3. Grievance Redressal:

• Serve as the primary point of contact for employees and students to report grievances related to facilities, services, hostels etc.
• Establish a process for recording, tracking, and resolving grievances in a timely and professional manner.
• Work closely with other departments (HR, Security, etc.) to address issues and ensure resolutions align with university policies and standards.

Key Skills & Competencies:

• Strong Organizational Skills: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
• Communication: Excellent interpersonal skills with the ability to communicate effectively across schools and departments
• Problem-Solving: Proactive in identifying issues and devising solutions for grievance redressal.

Qualifications:

• Bachelor's degree in Hospitality, Business Administration, or related field.
• 2+ years of experience in soft services management, facilities, or hospitality. Experience in university setup will be added advantage.
• Proven experience in event management, housekeeping, and handling grievances.
• Knowledge of safety standards and regulations related to housekeeping and facility management.
• Proficiency in MS Office Suite and facility management software.
