One-time Activities for AP function

Reconciliation Support (for the period 2013-2023)

Review of open items ledgers with supporting documents.

Coordinating with various stakeholders to obtain data.

Identifying difference and providing support to the existing team to clear the open items.

Complete the reconciliation based on information provided.

One-time Activities for process review

Process review

Read and understand the existing SOPs relating to review of GR/IR Open Items (like Freight Clearing, Customs, C&F, Goods, Services) and Old Advances

Review design of internal controls (including review controls) implemented by the management over the above areas

Identify areas for improvement and provide our recommendations.

On Going Activities

Implementation and monitoring of process

Setting up a team to help implement the process changes identified through the process review.

Work with the various stakeholders to:

Iron out challenges that the team may be facing.

Suggest changes in the team, if any, to bring inefficiency.

Identify technological intervention, if any.

Set-up quality matrix to monitor the output of the AP team.

Continuous monitoring of the performance of the AP Team.

Provide periodic report to the stakeholders for their view.
