Job Description

Apeejay Education Society requires Admin Officer for its School located at Kharghar, Navi Mumbai.

Position Objective:
To ensure the smooth functioning of all support services at Apeejay School, Kharghar, including housekeeping, security, transport, repair and maintenance, canteen operations, and safety measures. The incumbent will be responsible for overseeing the efficient management of these services while maintaining high standards of safety, compliance, and operational efficiency at all times.

Key Responsibilities:

General Administration:

  • Oversee the overall maintenance and upkeep of the school premises, ensuring all facilities are in optimal condition.
  • Ensure all Annual Maintenance Contracts (AMCs) are renewed on time and escalate any necessary upgrades or renewals in collaboration with the Head Office.
  • Supervise and manage transport operations, ensuring compliance with regulations, maintaining documentation, and suggesting improvements as needed.
  • Identify cost-effective solutions without compromising the quality of services and ensure the timely coordination of printing tasks for school signage and materials.
  • Manage housekeeping services, ensuring vendor compliance with staffing levels and quality of service. Conduct periodic reviews and escalate issues to the relevant authorities as needed.
  • Ensure the canteen operates under stringent hygiene standards and effectively manage horticultural activities on the premises.

Security Management:

  • Direct and oversee all safety and security operations at the school.
  • Coordinate safety planning and implement necessary safety and security devices, including patrols, alarms, and other safety measures to protect students, staff, and visitors.

Liaison with Authorities:

  • Establish and maintain strong relationships with regulatory authorities such as the Water Authority, Police Department, Electricity Department, BSNL, and local banks.
  • Ensure all necessary compliance requirements are met, and escalate issues promptly if there are any delays or lapses in services.

Repair & Maintenance:

  • Ensure all electrical, plumbing, and civil maintenance is carried out promptly to avoid disruption to school activities, and coordinate with external contractors when necessary.
  • Supervise the upkeep and maintenance of school infrastructure, including classrooms, laboratories, office spaces, sports facilities, and common areas.
  • Implement a preventive maintenance schedule for all equipment and machinery, including HVAC systems, lighting, and electrical appliances, to minimize downtime and enhance operational efficiency.
  • Ensure the schools Generators (DG Sets) are serviced regularly and are in optimal working condition for uninterrupted power supply.
  • Supervise and ensure the regular maintenance of all fire safety equipment, including fire extinguishers, alarms, and sprinklers, in compliance with safety regulations.
  • Oversee the regular servicing of the school's water purification systems and waste management systems to ensure environmental sustainability.
  • Implement energy-saving initiatives and repairs that contribute to reducing utility costs and ensuring sustainability across the campus.

Personnel Management:

  • Maintain service records for all administrative and support staff (housekeeping, security, and transportation staff), including necessary documentation such as Aadhaar Cards and Police verifications.
  • Manage leave records and ensure timely sanctioning of leave for administrative and class IV staff.

Event Management:

  • Assist in organizing school functions, events, and society meetings, ensuring all logistical arrangements are managed effectively.
  • Ensure proper functioning of academic buildings, gardens, grounds, and office areas.

Other Responsibilities:

  • Handle any additional tasks or projects as assigned by the reporting manager.
