Job Description

Role & responsibilities :-


The Executive Assistant (EA) plays a crucial role in providing high-level administrative support to executives, ensuring seamless operations and enabling efficient communication within the organization. This position demands a proactive and resourceful individual capable of handling a wide range of administrative tasks with discretion, professionalism, and attention to detail.


1. Calendar Management:

  • Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and organize commitments, ensuring optimal use of executive's time.

2. Communication:

  • Serve as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence with professionalism and discretion.
  • Draft, proofread, and edit documents, emails, and presentations on behalf of the executive.
  • Facilitate communication between the executive and various departments within the organization.

3. Administrative Support:

  • Provide comprehensive administrative support, including preparing expense reports, managing invoices, and maintaining filing systems.
  • Arrange and coordinate meetings, conferences, and events, including logistics, catering, and materials preparation.
  • Conduct research and compile data to support executive decision-making processes.

4. Travel Coordination:

  • Coordinate complex travel arrangements, including booking flights, accommodation, and transportation.
  • Prepare detailed itineraries and travel packs, ensuring executives have all necessary information for their trips.

5. Project Support:

  • Assist with special projects as assigned by the executive, which may involve research, data analysis, and presentation preparation.
  • Collaborate with other team members to ensure project milestones are met and objectives are achieved.

6. Confidentiality:

  • Maintain confidentiality and handle sensitive information with discretion and professionalism.

Qualifications:

  • Bachelor's degree or equivalent. Open for Freshers
  • Strong written and verbal communication skills, with excellent attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently, anticipate needs, and take initiative.
  • Discretion and integrity when handling confidential information.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Strong interpersonal skills, with the ability to build rapport and collaborate effectively with colleagues at all levels.
