Notice period: Immediate Joiners to 15 days

Shift Timing: U.S Shift 6:30 PM to 3:30 AM cab facility will be provided by the company pick up/ drop.

Job Description


We are seeking a dynamic and highly organized Project Management Office (PMO) Specialist to support and enhance the project management operations of F&A initiatives. The ideal candidate will have a strong background in project management, excellent presentation skills, and a proven ability to coordinate across multiple teams and senior leadership levels. This individual will play a pivotal role in tracking project progress, facilitating high-level client calls, taking comprehensive meeting notes, and driving actions to closure in collaboration with senior stakeholders, including Directors.


Roles & Responsibilities


  • Assist in the creation, tracking, and management of project plans, timelines, and deliverables for IT and business transformation projects.
  • Monitor the status of projects, ensuring alignment with business objectives and timelines.
  • Support the project manager in the preparation of project-related reports, including progress updates, risks, and mitigation strategies.
  • Work closely with IT teams, providing logistical and coordination support for software development and systems integration for new clients.
  • Facilitate communication between IT teams, business stakeholders, and vendors to ensure project goals are met.
  • Prepare and deliver presentations to senior leadership and stakeholders, summarizing project status, risks, and key decisions.
  • Coordinate with senior management, directors, and clients to schedule meetings, track deliverables, and follow up on actions.
  • Serve as the point of contact for internal and external stakeholders, ensuring clear and consistent communication across all levels of the organization.
  • Schedule and facilitate key client and internal project meetings (e.g., steering committee, status meetings).
  • Take detailed meeting notes, capturing action items, decisions, and risks.
  • Ensure actions from meetings are tracked, followed up on, and driven to closure in collaboration with senior leadership and Directors.
  • Assist in tracking and managing contracts, ensuring that key deliverables and service-level agreements (SLAs) are met.
  • Support the negotiation and renewal processes for vendor contracts as required.
  • Liaise with clients and vendors to ensure that contractual obligations are fulfilled.
  • Help develop and maintain PMO processes, tools, and templates to enhance project execution and reporting.
  • Identify opportunities for improving project efficiency and effectiveness.

Job Requirements


  • Bachelors degree in business administration, Information Technology, Project Management, or related field.
  • Minimum of 3-5 years of experience in project management, preferably in IT and/or business transformation projects.
  • Experience with project management tools (e.g., Microsoft Project, JIRA, Trello).
  • Experience in taking meeting notes, managing action items, and following up to ensure accountability.
  • Strong proficiency in MS Office Suite (PowerPoint, Excel, Word), and familiarity with collaboration tools (e.g., Microsoft Teams, Zoom).
  • Ability to work in a fast-paced environment and collaborate effectively across teams and with senior leadership.
