Job Description

The Senior Executive Sales Coordinator will be responsible for coordinating with the Business Development team, managing schedules, and ensuring that key documents related to KYC, invoices, payments, claims, and other relevant supporting materials are handled effectively. Additionally, the role includes providing after-sales support, responding to customer complaints, and ensuring high levels of customer satisfaction.

Job Type: Work from Office

Location: Noida Work

Timings: 9:00 AM - 5:30 PM (Alternate Saturdays off)


Key Deliverables:

Sales Support & Coordination:

  • Review Purchase Orders (PO) received from clients to ensure they align with agreed Terms & Conditions before processing in the system.
  • Cross-check sales-related information, documentation, or material to ensure completeness.
  • Maintain financial and non-financial data electronically and prepare reports.
  • Coordinate regularly with the PPIC team to release indents and check RM & PM dates after processing the PO.
  • Ensure all orders are processed accurately and in a timely manner.
  • Align dispatch schedules with the PPIC team after receiving RM & PM dates.
  • Provide Certificates of Analysis (COA) after process completion.
  • Manage web inquiries and respond to direct/urgent calls, emails, and messages, especially when Sales Representatives are unavailable.
  • Follow up with the sales team on primary orders and payments, tracking FTD & MTD targets vs. achievements.
  • Assist the sales team by maintaining meeting schedules, updating order and quotation databases.
  • Coordinate regularly with concerned teams regarding pending POs that are on hold.

Operations Support:

  • Maintain a smooth flow of operations by coordinating with procurement/purchase departments, raising timely alerts on raw material availability.
  • Update ERP and Tally systems daily regarding billing and records.
  • Prepare and share reports such as Inventory Consumption Report, Bill Cancellation Report, Free Sample Report, and Customer Payment Status.
  • Compile sales data and prepare various reports for management.

Candidate Profile & Skill Set:

  • Relevant experience as a Sales Coordinator or in a similar role.
  • Strong communication, interpersonal, and customer service orientation skills.
  • Excellent time management and problem-solving abilities.
  • Ability to manage and prioritize multiple tasks simultaneously.
  • Proficiency in MS Office (Excel, Word, PowerPoint, etc.).
