Job Description

The Sales Coordinator Executive will provide essential support to the sales team by managing schedules, ensuring timely order processing, and maintaining key documents such as KYC, invoices, payments, and claims. The role requires active coordination with cross-functional teams, ensuring effective communication, high customer satisfaction, and handling operational tasks efficiently. The ideal candidate will also be proficient in managing MIS reports, Excel sheets (VLOOKUP, Pivot Tables), and Power BI for reporting and analysis purposes.


Key Deliverables:

Sales Support & Coordination:

  • Assist in reviewing and processing Purchase Orders (POs) in line with agreed Terms & Conditions.
  • Maintain accurate sales-related documentation and ensure all necessary materials are provided and up to date.
  • Support the sales team in tracking orders, updates, and client requests by managing databases for orders, quotations, and customer data.
  • Work with PPIC team to release indents and check RM & PM dates after processing the PO.
  • Align dispatch schedules and follow up with relevant teams to ensure timely product delivery.
  • Manage web inquiries and handle direct calls, emails, and messages, especially when senior team members are unavailable.
  • Monitor and track sales team progress on FTD & MTD targets versus achievements.
  • Provide Certificates of Analysis (COA) and after-sales support to customers.
  • Coordinate with internal teams regarding pending orders or on-hold POs.

Operations Support:

  • Ensure smooth coordination with the procurement team for timely raw material availability.
  • Update ERP and Tally systems regularly with accurate billing and inventory records.
  • Prepare and share reports such as Inventory Consumption Report, Free Sample Report, and Customer Payment Status Report.
  • Monitor and analyze sales data, preparing various reports for senior management and ensuring the flow of operations remains uninterrupted.

MIS & Reporting:

  • Create and maintain various MIS reports for the sales team and management, including sales, inventory, and customer payment status reports.
  • Proficiently handle Excel functions such as VLOOKUP, Pivot Tables, and Power BI for better data analysis and reporting.
  • Prepare accurate, clear, and professional presentations for internal and external stakeholders.

Candidate Profile & Skill Set:

  • 2-4 years of experience as a Sales Coordinator or in a similar role.
  • Strong proficiency in MS Office, particularly Excel (VLOOKUP, Pivot Tables) and Power BI.
  • Excellent communication, interpersonal, and customer service skills.
  • Strong time management and problem-solving abilities, with the capacity to handle multiple tasks simultaneously.
  • Ability to work effectively under pressure and manage priorities.
  • Good presentation skills and ability to create clear, concise reports for management and team members.

Job Type: Work from Office
Location: Noida
Work Timings: 9:00 AM - 5:30 PM (Alternate Saturdays off)
