What is the opportunity?

The Executive Assistant will play a critical role in supporting the MD and helping to drive the success of the company. If you have a passion for planning experiences, exceptional organizational skills, and experience supporting high-level executives, this role is for you. You will be responsible for providing administrative support and managing the daily operations of the executive office. In addition to your administrative duties, you will also be responsible for planning specific events.


Location: Onsite at the Trivandrum Technopark office.


What will you do?

  • Manage the MD's calendar, schedule appointments, and coordinate travel arrangements
  • Overseeing all incoming and outgoing communications including emails, drafting/preparing r
    reports and correspondence.
  • Proactively manage the day-to-day administrative affairs of the MDs office, scheduling all appointments, conferences and speaking engagements and other commitments; handle changes or cancellations as deemed necessary and/or appropriate.
  • Plan and execute events/experiences, including coordinating with vendors, managing budgets, and ensuring that events/experiences run smoothly
  • Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities.
  • Provide support services to the MD and for others on behalf of the office of the MD, including booking reservations, arranging transportation, etc.
  • Leverage multiple avenues to help obtain meetings for the MD when scheduling is more complex
  • Conduct research on behalf of the Office of the MD and prepare briefing materials for meetings and events
  • Coordinate special projects as assigned
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Maintain confidentiality and exercise discretion in handling sensitive information

What do I need to succeed?


  • Relevant experience as an executive assistant preferably supporting a CXO or other high-
    level executive.
  • Experience planning focused events/experiences, with a strong attention to detail.
  • Experience in Calendar Management, Travel Management, Expense management.
  • Detail orientated and superior time management skills and strong organizational skills
  • Strong communication skills, both verbal and written, strategic thinker, and problem solver.
  • Flexible and ability to adjust as needed to competing demands
  • Strong interpersonal skills and the ability to build relationships at different levels within the
    organization.
  • Ability to demonstrate tact, diplomacy, and professionalism, and exercise discretion in
    dealing with confidential information
  • Flexible and comfortable working in a fast-paced, dynamic office environment with
    multiple time zones changes
  • Knowledge of Microsoft Office Suite, SharePoint, and PowerPoint.
