Job Summary:

• The Facility Administrator manages and oversees daily operations to ensure a safe, efficient, and functional environment, coordinating building maintenance, vendor relationships, office space, and compliance with safety regulations.

Education:

• Any Bachelor's degree

Key Responsibilities:

Facility Operations:

• Oversee day-to-day operations of office spaces, common areas, and storage areas.
• Ensure cleanliness, maintenance, and compliance with safety and health standards.
• Monitor and manage building systems (HVAC, plumbing, electrical, lighting).

Vendor and Contractor Management:

• Liaise with contractors, service providers, and vendors for cleaning, landscaping, pest control, and repairs.
• Review and manage contracts to ensure services are delivered as agreed.

Safety and Compliance:

• Ensure compliance with health, safety, and environmental regulations.
• Organize safety drills, inspections, and emergency response protocols.
• Maintain records for audits, safety inspections, and regulatory requirements.

Space Planning and Management:

• Coordinate office space planning and furniture setup based on needs.
• Track space usage, assist with office relocations, and maintain office layout.

Budget and Financial Management:

• Assist in developing and managing the facility budget, controlling costs, and tracking expenses.
• Process invoices and ensure timely payments to vendors and service providers.

Inventory and Equipment Management:

• Monitor inventory levels for supplies, equipment, and furniture.
• Ensure office equipment is functional and coordinate repairs or replacements as needed.

Emergency Management:

• Develop and implement emergency procedures, ensuring staff are trained.
• Serve as the point of contact during facility-related emergencies (e.g., power outages, evacuations).

Customer Service & Employee Support:

• Serve as point of contact for employees and visitors regarding facility-related requests.
• Ensure facilities support employee productivity and comfort, addressing concerns promptly.
