We are seeking a highly organized and efficient Office Assistant to perform various administrative and clerical tasks. The Office Assistant will support the smooth operation of the office by managing communications, scheduling appointments, maintaining office supplies, and assisting staff with daily office needs. Key Responsibilities:
General Office Support:
Manage phone calls, emails, and correspondence (letters, packages, etc.)
Greet visitors and direct them to the appropriate office/staff.
Provide information to internal and external stakeholders.
Administrative Duties:
Maintain organized office files, records, and documentation (both digital and physical).
Handle data entry and update office databases and records.
Schedule and organize meetings and appointments.
Prepare and distribute meeting agendas, take minutes, and follow up on action items.
Office Supplies and Maintenance:
Monitor and maintain office supplies inventory; order new supplies as needed.
Coordinate office equipment maintenance and repair.
Ensure a clean and organized office environment.
Clerical Support:
Assist in the preparation of reports, presentations, and spreadsheets.
Photocopy, scan, and fax documents.
Manage incoming and outgoing mail and deliveries.
Team Support:
Assist other team members with administrative tasks as needed.
Support HR and finance departments with clerical tasks (e.g., filing, expense reports, onboarding new employees).
Qualifications:
Education:High School Diploma ; Associates or Bachelors degree in office administration or a related field preferred.
Skills:
Strong organizational and time management skills.
Excellent written and verbal communication.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multi-task and prioritize tasks in a fast-paced environment.
