Key Responsibilities:
Manage and maintain the Managing Directors calendar, including scheduling meetings, conferences, and travel arrangements.
Prioritize appointments based on urgency and importance, ensuring efficient use of the MDs time.
Act as the point of contact between the Managing Director and internal/external stakeholders.
Handle incoming calls, emails, and other communications, ensuring timely and professional responses.
Organize and coordinate executive meetings, including preparing agendas, materials, and presentations.
Take minutes during meetings and ensure that follow-up actions are communicated and tracked.
Coordinate logistics for corporate events, conferences, and board meetings.
Organize and maintain files, records, and documents for easy access and retrieval.
Plan and book travel arrangements for the MD, including flights, accommodation, and ground transportation.
Ensure all travel arrangements are cost-effective and align with the MD's schedule and preferences.
Perform general office duties such as filing, organizing, and managing supplies.
Assist in preparing for board meetings and ensure MD is briefed on relevant issues.
Education & Experiences:
Bachelors degree in Business Administration, Management, or related field (preferred).
Minimum 5 years of experience in an executive assistant or administrative role, preferably in a manufacturing or industrial environment.
