Operations Manager Marketing Agency (BTL)

Role & responsibilities

1. BTL Campaign Planning & Execution:

• Coordinate and manage the execution of BTL campaigns, including product launches, in-store promotions, roadshows, pop-up events, sampling programs, and experiential marketing activations.
• Ensure all aspects of BTL campaigns (logistics, resources, timelines) are planned and executed in alignment with client objectives.
• Work with the account management and creative teams to understand client needs, provide insights, and align the operations plan with campaign goals.
• Develop detailed campaign schedules, timelines, and resource plans to ensure smooth execution.

2. Vendor & Supplier Management:

• Identify, negotiate, and manage relationships with external vendors and suppliers (e.g., event production companies, promotional staffing agencies, logistics, printing, etc.).
• Ensure vendors and suppliers deliver on time and meet quality standards, as well as managing contracts and ensuring compliance with terms.
• Oversee the procurement of materials and resources for BTL activations, including promotional materials, signage, branding elements, and equipment.
• Ensure the timely delivery and setup of materials at activation sites.

3. Logistical Management & Execution:

• Oversee and manage all logistical operations related to BTL activations, including transportation, warehousing, and on-site setup.
• Ensure all locations, venues, and activations meet operational standards, including health, safety, and regulatory compliance.
• Supervise the on-the-ground execution of BTL campaigns, ensuring activations and events run smoothly and according to the project brief.
• Troubleshoot any operational issues in real-time to ensure the success of the activation or event.

4. Client & Stakeholder Communication:

• Act as the primary point of contact for clients regarding operational aspects of BTL campaigns, providing regular updates on progress and managing client expectations.

Qualifications:

• Bachelors degree in Marketing, Event Management, Business Administration, or a related field.
• 4-6 years of experience in operations management or project management within a marketing agency, events company, or experiential marketing role.
• Proven experience in executing BTL marketing campaigns (e.g., product sampling, roadshows, experiential activations, in-store promotions).
• Experience in managing vendor relations and supplier negotiations.

Preferred candidate profile

• Excellent organisational and project management skills with the ability to manage multiple campaigns simultaneously.
• Strong communication skills, both verbal and written, with the ability to liaise effectively with clients, teams, and vendors.
• Proficiency in project management software (e.g., Asana, Trello, Monday.com, or equivalent).
• Strong budget management skills, with experience managing campaign costs and ensuring profitability.
• Detail-oriented with a strong ability to troubleshoot and problem-solve on the fly during live events or activations.
• Creative thinking to drive innovative, engaging campaigns while ensuring operational feasibility.
• Ability to work under pressure and meet tight deadlines in a fast-paced environment.
