About External Finance Department

The current opening is for the External Finance department of our organization. External Finance serves as the primary point of contact for finance-related matters for multinational companies, both in India and on global level. These companies often do not have a dedicated Finance Department, as External Finance assumes full responsibility for all finance-related tasks. The core responsibilities of External Finance include maintaining accurate books of accounts, ensuring compliance with applicable regulations, and performing necessary tasks to meet regulatory requirements. The team efficiently manages accounts payable and receivable and payroll processing, ensuring seamless coordination with various stakeholders including vendors, customers and employees. Additionally, External Finance collaborates with other departments to address their financial queries and meet their financial needs. To improve efficiency, they implement robust automation systems that streamline financial processes.

Job Summary:

As an Associate Accounts Payable, you will be responsible for end-to-end AP processes, ensuring compliances with companys global accounting policies and local regulations, and support month-end closing activities while interacting with Indian and foreign nationals. This role is critical in maintaining accurate financial records, enhancing vendor relationships, and optimizing the company’s vendor payment process. 

Key Responsibilities:

Invoice Processing & Payments:

• Process and review vendor invoices, ensuring accuracy, correct coding, and approvals as per company policies.
• Verify invoice details, including pricing, purchase orders, tax calculations, and supporting documentation.
• Manage invoice discrepancies by liaising with vendors and internal stakeholders to resolve issues.
• Process payment runs (ACH, wire transfers, checks) in accordance with agreed payment terms.
• Ensure compliance with tax regulations, withholding tax requirements, and vendor documentation.

Vendor Management

• Serve as the primary point of contact for vendor inquiries related to payments, invoice status, and discrepancies.
• Maintain and update vendor records, ensuring compliance with regulatory and company requirements.
• Investigate and resolve vendor queries or disputes promptly, maintaining strong vendor relationships.

Accounting & compliance:

• Accurate recording of AP transactions in the general ledger, adhering to accounting policies and internal controls.
• Maintain proper accounting for prepayments, accruals, amortizations and write offs.
• Assist in month-end and year-end closing activities, including preparing AP-related accruals and reports.
• Maintain complete and accurate records of all AP transactions in line with internal controls and audit requirements.
• Assist in internal and external audits by providing necessary documentation and reports.
• Identify opportunities for automation and efficiency in AP processes.

Skills and Qualifications:

• Education: Bachelor’s degree in accounting, Finance, or a related field.
• Experience: 2-4 years of accounts payable experience
• Familiarity with automated AP workflows and electronic payment processing.

Technical Skills:

• Proficient in Microsoft Excel (e.g., pivot tables, VLOOKUP).
• Experience with ERP systems such as NetSuite is preferred
