Project Secretary

We are seeking a highly organized and detail-oriented Project Secretary to join our team. The ideal candidate will have a strong background in supporting project teams, managing vendor relationships, and handling purchase orders (POs) in the water treatment or refinery sectors. The role requires proficiency in IFS (Integrated Financial Services) software, effective communication skills, and the ability to ensure smooth coordination of project activities.

• Assist project managers in coordinating and tracking project activities, timelines, and milestones
• Maintain relationships with external vendors and suppliers, ensuring timely delivery of materials and services. Act as the point of contact for all vendor-related queries.
• Ensure POs are accurately raised and follow up with vendors to ensure compliance with delivery schedules.
• Enter project-related data into IFS or relevant project management tools and ensure all records are up-to-date.
• Serve as a liaison between the project team, vendors, and other internal departments. Effectively communicate project updates, issues, and requirements.
• Ensure all project activities comply with the companys policies, standards, and regulatory requirements.

Required Skills & Qualifications:

• Bachelor’s degree or equivalent in Business Administration, Engineering, or related fields.
• 3-8 years of experience in project coordination or administration, preferably in the water treatment or refinery industry.
• Strong knowledge of IFS (Integrated Financial Services) software for project management, financial tracking, and reporting.
• Proven experience in managing vendors and suppliers, including PO generation, tracking, and follow-ups.
• Ability to proactively identify and resolve issues related to project timelines, vendors, and documentation.
