Job Title: Receptionist cum Administrative Assistant

Job Summary: We are looking for a highly organized and customer-focused Receptionist cum Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients, ensuring smooth day-to-day operations at our office. This role includes managing front desk responsibilities, handling phone calls, coordinating emails, supporting visa application processes, managing schedules for directors and lawyers, collecting payments, basic accounting, tele calling, and general administrative tasks.
Key Responsibilities:

Client Service & Front Desk Management:

    • Greet and welcome clients in a professional and friendly manner.
    • Answer, screen, and forward incoming phone calls efficiently.
    • Provide information about our services to walk-in and phone-in clients.
    • Assist clients with appointment scheduling and follow-ups.

Email & Communication Management:

    • Monitor and respond to client inquiries via emails and phone calls.
    • Organize and maintain records of communication for future reference.
    • Send reminders and updates to clients regarding their applications.

Calendar & Schedule Management:

    • Manage and coordinate calendars for directors and lawyers.
    • Schedule meetings, client consultations, and follow-ups as required.
    • Ensure timely communication of appointments and changes.Visa Application Processing:
    • Assist in gathering necessary documents and information for visa applications.
    • Support the preparation and submission of visa applications.
    • Follow up with clients to ensure timely submission of documents.

Tele calling:

    • Make outbound calls to follow up with clients regarding their applications, payments, or document submissions.
    • Reach out to potential clients to explain our services and schedule appointments.
    • Respond to inquiries and clarify doubts over the phone professionally.
    • Maintain call logs and client feedback for further action.

Payment Collection & Basic Accounting:

    • Collect and process payments from clients.
    • Maintain accurate records of financial transactions.
    • Support basic accounting tasks, such as invoicing and payment tracking.

Administrative Support:

    • Maintain organized files and records of all office documents.
    • Order and manage office supplies and ensure smooth office operations.
    • Support general administrative duties, as required, to assist team members.

Computer Skills & Technical Proficiency:

    • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Familiarity with email and calendar management tools.
    • Basic experience with accounting software and CRMs will be an advantage.
    • Ability to navigate and use online portals for visa processing tasks.

Desired Candidate Profile:

  • Minimum qualification: Bachelor’s degree or +2 with relevant experience.
  • 1-3 years of experience as a receptionist, administrative assistant, telecaller, or in a similar role (preferably in an immigration consultancy or educational services firm).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
  • Strong verbal and written communication skills in English, Telugu, and Hindi.
  • Excellent customer service and interpersonal skills.
  • Ability to multitask, prioritize, and manage time effectively.
  • Knowledge of visa application processes will be a strong advantage.
  • Basic knowledge of accounting and payment handling processes.
  • Strong computer skills and ability to adapt to new software and tools.
  • Experience in telecalling or client follow-ups will be an added advantage.

Salary:

  • INR 1,80,000 to 2,40,000 + applicable Bonuses or Incentives
  • Negotiable based on experience.
