Junior Operation Executive

Department: Operations

Location: Remote

Shift : Night (Mandatory)

Job level: Entry Level

Job profile:

Travmonde is a provider of touristic ground services, with the USP of providing guide and assistant

services for every city worldwide.

In this role you will be responsible to process bookings of guides and other services for a selected set

of clients which are received on a daily basis. You will have to be able to prioritize the workload

according to deadlines, arrival dates etc and work independently but within a team. When there are

no contracted providers available you will proactively search suitable providers and negotiate rates

and conditions.

Reporting and key relationships:

  • Key relationships with local guides, coach companies, porterage companies and other

providers of ground services.

  • Key internal relationships with contractors, sales agents, accounting and product

development teams.

Key activities:

  • Place bookings with guides, assistants and service providers as per reservations received

from clients

  • Select appropriate contracted or non-contracted providers according to clients requirements
  • Confirm bookings to clients within given deadlines and budget
  • Provide suitable alternatives as and when required
  • Process amendments, cancellations and special requests effectively with both clients as well
  • as providers.
  • Negotiate rates and conditions such as cancellation and payment policies
  • Handle phone calls from clients as well as providers and deal with emergencies such as late
  • minute requests or no shows.
  • Produce accurate documents and reports
  • Investigate queries/complaints and negotiate compensation where needed
  • General admin tasks
  • Prioritize workload according to deadlines
  • Taking over the handover from day staff and continue the same
  • Looking after the 3CX calls (for nights)
  • Responding & coordinating to client/supplier communication and process for quotations & bookings
  • Updating required sheets DBL, TU, OBL, Abrechnung, RFQ overview, Munich List etc.

Knowledge, skills and experience:

  • Previous experience in travel or hospitality industry desirable
  • Capable of handling high volume in a timely manner with accuracy
  • Ability to multitask
  • Excellent verbal and written communication skills in English
  • Demonstrated ability to establish and adhere to priorities in a fast pace environment and

work independently

  • Professional and efficient telephone manner
  • Good negotiation and interpersonal skills
  • IT proficiency including good working knowledge of Microsoft Office and internet

technologies

  • Driven to succeed with a professional ´can do´ attitude and work ethic
