Job Description

Qualifications Skills:
  • Education: Diploma or Bachelor s degree in Facility Management, Business Administration, or a related field.
  • Experience: 1-2 years of experience in office administration, facilities coordination, or coworking space operations.
  • Technical Skills: Basic knowledge of office infrastructure, maintenance, and workplace technology.
  • Soft Skills: Excellent organizational and problem-solving skills, proactive mindset, and ability to multitask.
  • Communication: Strong verbal and written communication skills in English and India local language.
  • Collaboration: Ability to work with cross-functional teams and external vendors.
Key Competencies:
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to manage multiple tasks in a dynamic coworking environment.
  • Strong interpersonal skills to interact with vendors, employees, and coworking space operators.
Working Conditions:
  • Based in a coworking space office in India, managing India and also support Philippines locations as per needed.
  • Regular working hours, with flexibility to address urgent facility matters when needed.
  • Some travel may be required to coordinate with vendors or attend meetings in either country.
Junior Facility Coordinator (FC) - India (also support for PH - as per needed)
Job Summary:
The Junior Facility Coordinator (FC) will be responsible for overseeing and ensuring smooth daily operations of our coworking space offices in India and the Philippines. This role includes vendor management, workplace services, employee support, and compliance with company policies and coworking space regulations. The FC will act as the main point of contact for facility-related matters, ensuring a productive and well-maintained work environment.
Key Responsibilities:
1. Facility Operations
  • Coordinate with the coworking space management teams in India and the Philippines to address facility-related issues, ensuring a seamless office experience for employees.
  • Monitor office cleanliness, maintenance, and functionality, escalating issues as needed liaise with coworking space management teams.
  • Ensure that all office equipment (printers, internet, meeting rooms, etc.) is operational and well-maintained liaise with coworking space management teams
2. Workplace Services Employee Support
  • Assist employees with workspace needs, seating arrangements, and general office inquiries.
  • Ensure office supplies, pantry items, and consumables are well-stocked and replenished on time.
  • Handle manage stock supplies (office, fb), and meal arrangements
3. Vendor Service Provider Management
  • Liaise with coworking space operators for office services, maintenance, and repairs in both India and the Philippines..
  • Track service agreements, renewal dates, and compliance with contractual obligations.
4. Health, Safety Compliance
  • Ensure compliance with workplace safety and security policies as per company standards and coworking space regulations.
  • Conduct periodic checks to ensure emergency exits, fire extinguishers, and first aid kits are accessible and in good condition.
  • Support office emergency preparedness and evacuation procedures.
5. Administrative Reporting Duties
  • Maintain records of office expenses, invoices, and vendor contracts.
  • Assist in budget tracking for coworking space-related costs.
  • Provide support for facility-related projects, relocations, or expansions.
