Job Description: Executive Assistant to Directors
Position Summary
The Executive Assistant to Directors provides high-level administrative support, ensuring efficient
management of schedules, communication, and operations. This role requires professionalism,
confidentiality, and the ability to work independently while supporting the strategic goals of the
Directors and the organization.
Key Responsibilities
1. Administrative Support
o Manage and maintain the Directors' calendars, including scheduling meetings,
appointments, and travel arrangements.
o Prepare agendas, presentations, and meeting materials as required.
o Take minutes during meetings and follow up on action items.
2. Communication Management
o Act as the primary point of contact between the Directors and internal/external
stakeholders.
o Screen and prioritize emails, phone calls, and other correspondence.
o Draft and proofread correspondence, reports, and other documents.
3. Project Coordination
o Assist in coordinating and managing special projects as directed by the Directors.
o Track deadlines, ensure timely completion, and provide regular updates.
4. Office Management
o Oversee filing systems, records, and confidential documents.
o Maintain office supplies and manage procurement for the Directors office.
5. Event Planning and Coordination
o Organize events, conferences, and off-site meetings as needed.
o Handle logistics, vendor coordination, and participant communication.
6. Confidentiality and Discretion
o Handle sensitive information with the utmost confidentiality and professionalism.
o Maintain trust and confidence in all interactions
Qualifications
• Master's / Bachelors degree in Business Administration, Management, or a related field (preferred).
• Proven experience as an Executive Assistant or in a similar role.
• Strong organizational and time management skills, with the ability to prioritize effectively.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration
tools.
• Strong attention to detail and problem-solving skills.
• Ability to work under pressure and adapt to changing priorities.
