Job Summary

We are seeking a detail-oriented and proactive Order Management Specialist to oversee the end-to-end order processing and fulfillment process across multiple sales channels. The ideal candidate will ensure seamless order handling, shipment coordination, and customer satisfaction while optimizing operational efficiency. This role requires strong analytical skills, excellent communication, and hands-on experience with order management systems.

Key Responsibilities

Order Processing:
  • Receive and review customer orders across multiple channels (online, phone, retail) for accuracy and completeness.
  • Validate inventory availability and pricing to confirm order feasibility.
  • Process order modifications, cancellations, and refunds efficiently.
  • Generate necessary order documentation and coordinate with relevant departments.
Channel Management:
  • Collaborate with sales teams across e-commerce, wholesale, and direct sales channels to manage order flow.
  • Monitor key performance metrics such as sales volume, conversion rates, and delivery times.
  • Identify and address channel-specific challenges impacting order fulfillment.
Shipment Coordination:
  • Select appropriate shipping methods based on customer requirements and delivery deadlines.
  • Generate shipping labels, invoices, and manifest documents.
  • Track shipments and proactively update customers on delivery status.
  • Work closely with logistics partners to ensure timely and accurate deliveries.
Customer Service & Issue Resolution:
  • Respond to customer inquiries related to order status, tracking, and delivery concerns.
  • Troubleshoot order-related issues and escalate complex problems when necessary.
  • Maintain high levels of customer satisfaction through prompt and effective resolution.
Reporting & Analysis:
  • Generate and analyze reports on order metrics (e.g., average order value, on-time delivery rate, cancellation trends).
  • Identify bottlenecks in the order fulfillment process and recommend solutions to improve efficiency.
  • Collaborate with cross-functional teams to enhance the overall customer experience.
Required Skills & Qualifications

Technical Skills:
  • Proficiency in Order Management Systems (OMS), Warehouse Management Systems (WMS), CRM platforms, and data analysis tools.
  • Familiarity with ERP systems and e-commerce platforms like Shopify, Amazon Seller Central, and Flipkart Seller Hub is a plus.
Communication & Collaboration:
  • Excellent written and verbal communication skills to interact with customers and internal teams.
  • Ability to coordinate with sales, logistics, and customer support teams effectively.
Analytical & Problem-Solving Skills:
  • Strong data interpretation abilities to optimize order fulfillment processes.
  • Capability to troubleshoot order-related issues and provide effective resolutions.
Attention to Detail & Accuracy:
  • High level of accuracy in managing order details and ensuring compliance with company policies.
Preferred Experience

  • 5+ years of experience in order management, supply chain operations, or customer service within a multi-channel sales environment.
  • Prior experience in e-commerce, retail, or wholesale order processing is highly desirable.
  • Knowledge of various sales channels and their unique order fulfillment requirements.

Working Conditions

Environment: Office setting
Full-time position, Monday to Friday
