Overview
The Executive Assistant to the Founder plays a pivotal role in ensuring the smooth and efficient operation of the office. This position requires a proactive individual who can manage a wide range of responsibilities and handle the pressures associated with supporting senior leadership. With a direct line of communication to the Founder, the Executive Assistant serves not only as a key administrative resource but also as a trusted confidant. The ideal candidate will excel in multitasking, exhibit outstanding judgment, and possess a keen ability to anticipate the needs of the Founder. This role is crucial for enhancing productivity, streamlining communications, and maintaining an organized workflow across the organization. The Executive Assistant must manage a dynamic schedule, coordinate meetings with stakeholders, and maintain a keen awareness of company operations, ensuring both the Founder and the organization achieves its strategic objectives efficiently.
Key Responsibilities
  • Manage the Founder s calendar and prioritize appointments.
  • Coordinate and schedule meetings, ensuring all required materials are prepared.
  • Screen phone calls and direct inquiries to appropriate personnel.
  • Draft, review, and format correspondence and documents as needed.
  • Plan and organize company events, conferences, and travel arrangements.
  • Maintain an organized filing system for important documents.
  • Prepare briefing materials and reports for various meetings.
  • Facilitate communication between the Founder and team members.
  • Research and gather information for projects and presentations.
  • Assist with project management duties as needed.
  • Handle sensitive information with the utmost confidentiality.
  • Assist in managing budgets and track expenses.
  • Keep track of deadlines and follow up on outstanding tasks.
  • Support the Founder's initiatives and contribute to strategic planning.
  • Provide general administrative support when necessary.
Required Qualifications
  • Bachelor's degree in Business Administration or a related field.
  • Proven experience as an Executive Assistant or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to maintain professionalism and confidentiality.
  • Familiarity with project management tools and software.
  • Experience in handling sensitive matters and high-level executives.
  • Exceptional problem-solving skills and attention to detail.
  • Strong interpersonal skills and a collaborative mindset.
  • Ability to work in a fast-paced environment and manage stress effectively.
  • Willingness to adapt to changing priorities quickly.
  • Experience in a startup or high-growth environment is a plus.
  • Demonstrated ability to take initiative and work independently.
  • High proficiency in conducting research and synthesizing information.
