Job Description

Sunbots Innovations LLP, a pioneering company dedicated to creating accessible technological solutions for the visually impaired, is seeking an organized and proactive Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office, supporting our team, and contributing to the efficient management of our day-to-day activities. This position offers a unique opportunity to be part of a mission-driven organization that makes a significant difference in the lives of our users.
 
Responsibilities
  • Manage office supplies stock and place orders as necessary, ensuring all team members have the tools they need to succeed.
  • Organize and maintain office common areas, ensuring a clean and efficient workspace.
  • Coordinate internal and external meetings, including scheduling, logistics, and provision of necessary materials.
  • Handle incoming and outgoing correspondence, including mail, email, and phone calls, providing a professional first point of contact.
  • Assist in the preparation of regularly scheduled reports, presentations, and financial statements.
  • Provide administrative support to our team members as needed, including document preparation, filing, and data entry.
  • Develop and maintain a filing system that ensures important company documents are safely stored and easily accessible.
  • Assist with employee onboarding processes, ensuring new team members are seamlessly integrated into the company.
  • Coordinate travel arrangements, including accommodations and transportation for team members as required.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
Qualifications
  • Proven experience as an Office Administrator, Office Assistant, or relevant role.
  • Strong organizational and planning skills in a fast-paced environment.
  • Excellent attention to detail and problem-solving skills.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent written and verbal communication skills.
  • A high school diploma; additional qualification as an Administrative assistant or Secretary will be a plus.
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
  • A proactive approach to office management, able to anticipate and address needs before they arise.
