Job Description :
Position Title : EDI Support Specialist
Reports to : EDI Manager/IT Support Manager
Department : Information Technology / IT Support
Job Overview :
The EDI Support Specialist is responsible for maintaining, troubleshooting, and supporting the company's Electronic Data Interchange (EDI) system. This role ensures seamless communication between internal systems and external partners, vendors, customers, and suppliers via EDI protocols.
The individual will collaborate closely with cross-functional teams to identify and resolve any issues related to data transmission, mapping, and integration, ensuring that all EDI transactions meet operational and business requirements.
Key Responsibilities :
EDI System Monitoring and Support :
- Monitor and maintain EDI communications to ensure timely and accurate transmission of data between internal systems and trading partners.
- Act as the first point of contact for EDI-related inquiries, troubleshooting and resolving issues as they arise.
- Ensure data integrity and resolve discrepancies, errors, or issues in the EDI transactions.
- Support the configuration, implementation, and testing of EDI mappings and workflows.
EDI Process Optimization and Troubleshooting :
- Troubleshoot EDI communication failures, such as transmission errors, mapping issues, or data inconsistencies, and provide resolutions in a timely manner.
- Work with internal teams and external partners to investigate and resolve issues related to transaction errors, data discrepancies, and system performance.
- Assist in identifying opportunities for EDI process improvements, ensuring better efficiency, data quality, and overall system performance.
EDI System Integration :
- Work closely with the IT development team to integrate new EDI interfaces with enterprise systems (ERP, SAP, or other systems).
- Help implement and configure new EDI transactions (such as purchase orders, invoices, shipment notices, etc.) for integration with business partners.
- Provide ongoing support during the integration and onboarding of new EDI trading partners.
Documentation and Reporting :
- Maintain clear and accurate documentation of EDI configurations, procedures, and troubleshooting steps.
- Generate and review EDI system logs and reports to identify issues and ensure correct processing of all transactions.
- Prepare regular status updates and reports on EDI system performance and incident resolutions for management.
Collaboration with Internal and External Stakeholders :
- Collaborate with internal departments (e.g., IT, finance, operations, and supply chain) to address any operational issues related to EDI.
- Work with external customers, vendors, and partners to resolve EDI transaction issues and support the development of new trading relationships.
- Provide training and guidance to internal teams and external partners on EDI processes, tools, and troubleshooting.
Compliance and Security :
- Ensure all EDI transactions comply with business requirements and industry standards (e.g., ANSI X12, EDIFACT, XML).
- Maintain security protocols to safeguard data integrity and prevent unauthorized access or data breaches in the EDI system.
Project Support and System Enhancements :
- Assist in the implementation of new EDI projects or system upgrades by providing technical expertise and support.
- Support EDI-related initiatives that contribute to the company's broader business and IT strategy, ensuring the EDI platform aligns with business goals and objectives.
Skills & Qualifications :
Educational Requirements :
- Bachelor's degree in Computer Science, Information Technology, Business Administration, or a related field, or equivalent experience.
Technical Skills :
- Hands-on experience with EDI systems and tools (such as IBM Sterling, Gentran, or similar).
- Proficiency in working with EDI protocols (X12, EDIFACT, XML, etc.) and data formats.
- Experience with ERP systems (SAP, Oracle, etc.) and their integration with EDI solutions.
- Strong understanding of SQL and database management for troubleshooting and analyzing data.
- Familiarity with mapping tools such as GIS, TIBCO, or similar.
Soft Skills :
- Strong problem-solving and analytical skills with a keen attention to detail.
- Excellent communication and interpersonal skills, with the ability to effectively work with cross-functional teams.
- Ability to work under pressure and manage multiple priorities with a high level of accuracy.
- Strong organizational skills and the ability to document and track issues effectively.
Experience :
- Minimum 2-3 years of experience in EDI support or a related IT support role.
- Experience with EDI partner setup, testing, troubleshooting, and issue resolution.
- Proven experience working with business stakeholders, both internal and external, to facilitate the adoption of EDI solutions.
Preferred Qualifications :
- Experience with cloud-based EDI solutions and SaaS platforms.
- Knowledge of supply chain, logistics, or finance-related processes that interact with EDI systems.
- Certification in EDI systems or related IT fields.
