Requirements

• Minimum of 3 years of experience in booking tickets, doing visas, providing car rentals and hotels at international locations and within optimum cost
• Self-motivated and passionate individual
• Vendor coordination for tickets, visas and insurance.
• Have to handle dynamic and complex situations related to visa and travel.
• Staying updated on travel trends, country visa and travel rules and regulations and industry news
• Maintaining relationships with internal customers, vendors and other stakeholders
• Excellent communication and interpersonal skills, with the ability to effectively engage with internal stakeholders and external partners.
• Ability to work collaboratively within a team environment and maintain transparency
• Eye for detail and a proactive approach to problem-solving.
• Swift, synchronized coordination between Engineers– His Supervisor –Sarla overseas office or project leader for onward as well as return travel keeping in mind visa validity & project durations.
• Demonstrated ability to adapt to changing priorities and environments in a fast-paced, dynamic global organization.

Responsibilities

1. Travel Management:

• Handle end-to-end travel requirements from getting the most optimum ticket, visa applications, hotel, insurance and car rental booking for engineers across different regions.
• Optimize the travel hours and cost without compromising engineers’ billable hours ONSITE
• A quick turnaround time for responding to internal customers and providing exceptional service
• Updating visa and travel tracker in Zoho CRM
• Be in constant touch with the traveler till he reaches his destination safely

2. Vendor Management:

• Coordinating with vendors for invoices and doing reconciliation
• Providing invoices to Accounts team for on time customer invoicing

3. Stakeholder Communication:

• Provide timely responses and regular updates to internal stakeholders

regarding visa and travel.

• Coordinate with employees, PM, and travel team to facilitate smooth travel arrangements considering visa validity and project durations.
