Job Description

POSITION OBJECTIVE

The job holder will manage and execute projects with the utmost quality within budget and allocated timelines. This role encompasses overseeing layout design, budgeting, governmental and mall authority liaison, and internal team coordination. The Project Head will ensure that all project phases, from planning to completion, are streamlined and executed effectively

DO Key Responsibilities

1. Project Management and Execution:

  • Lead project execution focusing on quality, budget compliance, and adherence to allocated timelines for Landmark Leisure projects.
  • Oversee all phases of project execution, ensuring alignment with company goals for quality, budget adherence, and timeline management.
  • Develop comprehensive project plans, including detailed timelines, resource allocation, and risk assessments.
  • Develop project schedules and monitor progress to ensure timely completion.

2.Design and Layout Planning:

  • Design and create layout plans for various leisure formats, including zoning and detailed working drawings.
  • Create detailed project schedules that map out each stage of the project lifecycle, from initiation to completion, with milestone targets.
  • Continuously monitor project progress against timelines, using project management tools and methodologies to identify and resolve any delays.
  • Adjust project plans as needed to address unforeseen challenges or changes in scope, communicating updates to all stakeholders.
  • Prepare BOQs and project estimates for budget approvals.
  • Develop and present 3D views to stakeholders.

3Liaison with Authorities and External Stakeholders:

  • Coordinate with governmental authorities, mall management, and external architects/consultants for design and drawing approvals.
  • Submit designs and obtain necessary mall approvals for project commencement.
  • Work closely with external architects, engineers, and consultants to align on design specifications, project requirements, and feasibility assessments.
  • Coordinate the exchange of drawings, technical documents, and specifications, ensuring accurate and complete submissions for approval
  • Provide clear, timely communication to all external stakeholders, keeping them informed of project status, deadlines, and any changes to the project scope or timeline.
  • Prepare reports and presentations as required to facilitate decision-making and maintain transparency with all parties involved.

4Process Standardization and Documentation:

  • Develop, implement, and continuously refine standard operating procedures (SOPs) for design and specification processes to ensure uniformity across all projects.
  • Rigorously review and cross-check all design documents, drawings, BOQs, and specifications received from external consultants and parties to ensure accuracy and compliance with project requirements.
  • Ensure that only finalized and verified drawings are issued to site engineers to prevent errors during execution
  • Create a systematic approach to document management, including cataloging, updating, and archiving all project-related documents.
  • Maintain comprehensive records of design iterations, approvals, and changes for future reference and audits.

5Vendor and Internal Coordination:

  • Establish and nurture strong relationships with vendors, ensuring reliability and consistency in delivering materials, services, and equipment.
  • Collaborate with internal teams, including Technical, Finance, Procurement, Marketing, and Graphic Design departments, to ensure project alignment and smooth workflow.
  • Act as a central point of contact for internal teams, ensuring smooth communication and coordination between departments.
  • Solicit feedback from internal teams and vendors to evaluate collaboration effectiveness and identify areas for process improvement.
  • Implement best practices to enhance coordination, reduce delays, and improve overall project outcomes.

6 Operational Support and Troubleshooting:

  • Collaborate proactively with Operations Managers to identify, address, and resolve any on-site issues swiftly, minimizing disruptions to project timelines.
  • Conduct regular site inspections to ensure that operations align with project specifications, quality standards, and safety protocols.
  • Facilitate open communication with on-site teams to receive real-time feedback and identify potential issues early, allowing for immediate response.
  • Develop and implement a systematic approach to troubleshooting that includes diagnosing issues, assessing potential risks, and determining effective solutions to maintain project momentum.

7 Quality Assurance and Cost Control:

  • Develop and implement construction best practices that ensure schedule adherence, and cost control in line with contractual agreements to the highest quality standards across all project phases, from planning to completion.
  • Regularly update quality standards to reflect industry advancements and company goals, ensuring that all projects maintain a competitive edge in design and durability.
  • Monitor expenditures closely throughout the project to identify any cost variances and adjust spending plans as necessary to remain within budget.
  • Identify potential risks to quality and budget early in the planning stage, implementing mitigation strategies to minimize their impact on project outcome.
  • Set clear KPIs for quality, schedule adherence, and cost efficiency, regularly tracking these metrics to assess project performance

8. Billing and Payment Certification:

  • Assess invoices from contractors and vendors for accuracy, confirming that billed items align with completed work and agreed-upon rates.
  • Certify and authorize payment requests only after thorough verification, maintaining alignment with project budgets and contractual terms.
  • Maintain organized records of all certified invoices, measurements, and payments for transparency and ease of future audits

9.Team Development and Training:

  • Identify skill gaps within the team and design targeted training programs to address them, fostering both technical and professional growth.
  • Conduct regular one-on-one sessions to discuss challenges, share insights, and offer personalized advice for skill enhancement.
  • Encourage a culture of continuous learning by sharing resources such as articles, case studies, and industry reports.
  • Assess individual performance through regular reviews, identifying strengths and areas for improvement.
  • Recognize and reward outstanding contributions to motivate the team and encourage excellence.
  • Foster a collaborative team environment by organizing activities that promote teamwork, communication, and problem-solving skills.

Basic Qualification / Education / Vocational Training

B.E in Civil / Mechanical / B. Arch

Minimum Experience

10 - 15 years experience in FEC/Retail / QSR Restaurants

Skills and Capabilities

  • Bachelor’s degree in civil engineering, Architecture, Project Management, or a related field.
  • Strong knowledge of layout design, BOQ preparation, and vendor management.
  • Excellent communication and coordination skills to liaise with governmental authorities, mall management, and internal teams.
  • Proficiency in design software (e.g., AutoCAD, SketchUp) and project management tools.
  • strong planning, organizing, and time management skills, with the ability to lead and motivate teams.
  • Proficient in vendor management, negotiation, and decision-making, ensuring successful project execution.
  • Experienced in managing PAN India project rollouts and maintaining strong market knowledge.
  • Ready to travel and collaborate effectively across regions for timely and high-quality project delivery.
