Job Description

Role & responsibilities


Front Office Management:

  • Greet visitors and clients in a professional and friendly manner.
  • Answer and direct phone calls, emails, and inquiries.
  • Maintain and manage office reception area, ensuring it is clean, tidy, and welcoming.
  • Manage scheduling of appointments, meetings, and conferences for senior management.

Admin Support:

  • Assist with day-to-day administrative tasks, including correspondence, data entry, and file management.
  • Handle office supplies inventory, order and ensure timely restocking.
  • Prepare and maintain important documents, reports, and presentations.
  • Coordinate travel and accommodation arrangements for executives and staff.

Back Office Administration:

  • Support the back-office operations, including filing, document management, and other related tasks.
  • Assist with employee attendance records, Documentation and basic HR functions.
  • Maintain databases, update records, and manage office documentation.

Communication:

  • Communicate clearly and effectively with staff, clients, and external stakeholders.
  • Draft, review, and send official correspondences (letters, memos, emails).
  • Ensure smooth communication flow between front and back office operations.

Other Administrative Duties:

  • Assist with various projects, tasks, and office events as required.
  • Handle confidential and sensitive information with discretion.
  • Ensure smooth operations of office facilities and report maintenance issues.

We are seeking a highly organized, detail-oriented, and proactive Front Office & Admin Executive to join our team. The ideal candidate will have a solid background in front and back office administration, excellent communication skills, and the ability to maintain stability and professionalism in a fast-paced environment. The role demands strong multitasking abilities, effective time management, and the capability to handle confidential information.
