Front Desk, Admin & Travel Desk Executive

Role & responsibilities

• Greet and welcome visitors, clients, and employees.
• Answer and direct phone calls; manage the reception area.
• Handle incoming/outgoing mail, couriers, and deliveries.
• Maintain visitor logbook and issue visitor badges.
• Assist in scheduling and organizing meetings.
• Oversee daily office operations and resource management.
• Manage office supplies: ordering, stocking, and distribution.
• Coordinate with vendors for office equipment and services.
• Organize company events, meetings, and conferences.
• Prepare and maintain office documentation (contracts, policies).
• Provide administrative support to HR, finance, and other departments.
• Monitor office expenses and assist with budget preparation.
• Support onboarding of new employees, setting up workstations.
• Arrange corporate travel: flights, hotels, car rentals, etc.
• Assist with visa applications, travel insurance, and documentation.
• Maintain records of travel expenses and prepare reports.
• Provide 24/7 travel support for emergencies or itinerary changes.

Qualifications:

• Bachelors degree in Business Administration, Travel Management, or related field.
• Experience in front desk, office administration, and travel coordination.
• Proficiency in Microsoft Office Suite and travel booking software.
• Strong communication, organizational, and multitasking skills.
• Professional appearance, problem-solving ability, and discretion.
