Key Responsibilities:
Administrative Support:
Manage and coordinate daily office operations and tasks.
Answer phone calls, respond to emails, and handle general inquiries.
Schedule and organize meetings, conferences, and appointments.
Prepare and proofread documents, presentations, and reports.
Office Management:
Maintain office supplies and equipment, ensuring they are stocked and functional.
Handle office correspondence and maintain filing systems.
Organize and maintain a clean and efficient office environment.
Assist with travel arrangements and accommodation bookings for staff, when required.
Data Management:
Update and maintain databases, spreadsheets, and internal systems.
Assist in processing invoices, managing budgets, and keeping track of financial records.
Monitor and report on the progress of projects and deadlines.
Communication & Coordination:
Facilitate communication between departments and teams.
Act as a point of contact for internal and external stakeholders.
Coordinate team activities, events, and office functions.
Human Resources Support (if applicable):
Assist with recruitment processes, including job postings, interview scheduling, and onboarding.
Maintain employee records and HR-related documents.
Support payroll and benefits administration as needed.
Skills & Qualifications:
Education: High school diploma or equivalent; a degree or certification in business administration, office management, or a related field is preferred.
Experience: Minimum 1-3 years of experience in an administrative or office management role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with office management software and tools.
Communication Skills: Excellent written and verbal communication skills.
Organization: Strong organizational and time management abilities, with the ability to prioritize tasks.
Problem-Solving: Ability to identify issues and provide solutions in a fast-paced environment.
