Job Requirements

Education:

• Bachelors degree in Supply Chain Management, Business Administration, or a related field.
• Professional certifications like CPSM, CIPS, or PMP are highly desirable.

Relevant Experience:

• 2-4 years of experience in procurement, supplier management, or supply chain operations.
• Proven experience in supplier onboarding and maintaining compliance in a global environment.

Behavioural Skills:

• Strong communication and interpersonal skills to collaborate effectively with suppliers and internal teams.
• Detail-oriented with excellent organizational and problem-solving abilities.
• Ability to handle multiple tasks and deadlines in a fast-paced environment.

Technical Skills:

• Hands-on experience with supplier onboarding tools and e-procurement platforms (e.g., SAP Ariba, Coupa, Oracle).
• Proficiency in data management and analysis tools such as Excel, Power BI, or Tableau.
• Knowledge of ERP systems and supplier workflows.

Knowledge:

• Familiarity with global supplier compliance standards, risk management, and regulatory requirements.
• Strong understanding of catalogue management best practices and tools.
• Understanding of procurement best practices and supplier lifecycle management.

Roles & Responsibilities

Supplier Onboarding & Documentation / Catalogue Management

• Manage the end-to-end supplier onboarding process, ensuring all required documentation is collected and verified.
• Collaborate with suppliers to guide them through onboarding requirements, including registration, certifications, and contractual agreements.
• Maintain accurate and up-to-date supplier records in procurement systems.
• Validate and ensure compliance with legal, financial, and regulatory standards during onboarding.
• Create, maintain, and manage digital procurement catalogues, ensuring content is accurate, relevant, and up to date.
• Validate and standardize product and service details, including pricing, specifications, descriptions, and availability.
• Drive catalogue efficiency by eliminating redundancies, consolidating suppliers, and ensuring alignment with company procurement standards.
• Work with IT and procurement teams to improve catalogue interfaces and functionality for end-users.
• Implement catalogue automation and classification systems to enhance user experience.
• Collaborate with suppliers to onboard them into the catalogue system, ensuring adherence to company standards.
• Ensure service-level agreements (SLAs) for catalogued items in partnership with sourcing/procurement teams.
• Monitor supplier performance through KPIs and ensure compliance with agreed terms and conditions.
• Proactively resolve supplier disputes, delivery issues, or pricing inaccuracies related to catalogue content.

Compliance & Risk Management

• Ensure suppliers meet all compliance requirements, including sustainability, diversity, and ethical standards.
• Conduct risk assessments for new suppliers, flagging potential issues to relevant teams.
• Partner with legal and compliance teams to address supplier queries and resolve onboarding challenges.

Stakeholder Collaboration

• Act as the primary point of contact between suppliers and internal teams during onboarding.
• Partner with procurement, finance, and IT teams to ensure smooth integration of suppliers into procurement platforms.
• Provide guidance and support to stakeholders on supplier-related issues or escalations.

Process Optimization & Automation

• Identify opportunities to enhance catalogue processes through automation and integration with e-procurement tools.
• Benchmark industry best practices and recommend innovative solutions to improve procurement catalogue management.
• Work with IT teams to implement system upgrades and resolve technical issues.

Reporting & Analytics

• Track and report key metrics related to supplier onboarding, such as cycle time, compliance rates, and supplier performance.
• Analyze onboarding data to identify trends and recommend improvements.
• Generate reports for management on the status of onboarding activities and process efficiency.
• Develop and maintain standard operating procedures (SOPs) for supplier onboarding.
• Analyze catalogue usage trends, procurement data, and supplier performance metrics to identify areas for improvement.
• Generate detailed reports on cost savings, catalogue efficiency, and supplier performance for management review.
• Utilize data-driven insights to recommend changes that drive procurement efficiency and cost optimization.
