Job Description

We are seeking an organized and detail-oriented Analytical Healthcare Office Administrator with experience in the medical field and a strong focus on US client communication. The ideal candidate should possess a solid understanding of medical terminology, be proficient in handling administrative tasks within a healthcare environment, and have exceptional computer and communication skills. The role involves managing data entry, organizing and maintaining physician files, and supporting office administration, all while ensuring excellent coordination in a dynamic work environment.


Key Responsibilities:

  • Data Entry & System Management:
    • Assist with ongoing data entry within Radiology systems.
    • Ensure data accuracy, organization, and compliance with relevant healthcare standards.
  • Physician File Management:
    • Organize and maintain US physician files, including their licenses, CVs, and other credentialing documents.
    • Regularly update and track documentation for credentialing purposes.
  • Communication with US Healthcare Personnel:
    • Communicate effectively via phone, email, and SMS with US healthcare personnel, including physicians, office staff, and administrators.
    • Maintain professional communication at all times, ensuring clarity and precision.
  • Report Generation & MS Excel Skills:
    • Utilize MS Excel to generate detailed reports for internal use and client needs.
    • Analyze data and provide key insights as requested.
  • Office Administration & Coordination:
    • Oversee daily office administrative tasks, ensuring smooth operations.
    • Coordinate and facilitate meetings, scheduling, and other duties to support the founder and team.
  • Stress Management & Client Handling:
    • Handle stressful situations and client requests with professionalism and calmness.
    • Ensure tasks are completed within deadlines, even under pressure.
  • General Office Tasks & Project Assistance:
    • Support ongoing projects and ad-hoc tasks as required.
    • Perform additional duties as assigned by management to meet business needs.

Qualifications & Skills:

  • Education: Any Graduate (UG).
  • Prior Experience: Previous experience in the medical field, specifically working with US clients, is highly preferred.
  • Key Skills:
    • Solid understanding of medical terminology.
    • Excellent computer skills, particularly in MS Excel.
    • Strong organizational skills and ability to manage multiple tasks simultaneously.
    • Exceptional communication skills, both written and verbal, with the ability to liaise effectively with US clients and healthcare personnel.
    • Prior experience working with US clients is essential.
  • Other Skills:
    • Ability to handle stressful situations and demanding clients in a professional manner.
    • Excellent multi-tasking abilities and eagerness to learn and stay on top of tasks.
