Project Manager

About the Role:

We are seeking a highly organized and detail-oriented PMO Specialist to support the successful delivery of programs and projects within our organization. The ideal candidate will play a pivotal role in ensuring programs are set up for success, adhere to governance standards, and achieve their objectives.

Key Responsibilities:

• Develop and support quality business cases, ensuring robust costs, benefits, schedules/milestones, scope, business impacts, and risk assessments.
• Monitor and track business cases with ongoing cost and benefit forecasts, ensuring effective tracking mechanisms.
• Embed appropriate project governance processes and ensure compliance with organizational standards (e.g., Westpac Transformation Delivery Standard and Policy).
• Identify and escalate key risks and issues for assigned programs, including emerging and delivered risks.
• Review programs to ensure they are set up for success and managed effectively to achieve objectives.
• Provide recommendations on program management, including funding approvals and sequencing.
• Identify and manage cross-program dependencies and resource contentions, escalating as necessary.
• Regularly reassess program assumptions to confirm validity.
• Deliver insights on quality and delivery issues identified through reviews and engagements.
• Partner with project and business representatives to resolve risks and issues, escalating as required.
• Review and guide program/project governance documentation and ensure adherence to document storage protocols.
• Facilitate and lead working groups as required.
• Review and contribute to program reporting, including Steering Committee documentation.
• Manage working groups and Steering Committees, including taking minutes, tracking progress on actions, and maintaining Key Decision Registers.
• Establish, monitor, and coordinate program reporting timelines and structures.
• Set up programs in Clarity and ensure timely completion of Clarity timesheets.
• Ensure timely, appropriate, and relevant communications from the PMO to key stakeholders.
• Implement and maintain program registers to track key decisions, achievements, action items, requisitions, and invoice approvals.

Key Skills and Qualifications:

• Proven experience in program and project management, including governance and compliance frameworks.
• Strong expertise in business case development, cost-benefit analysis, and forecasting.
• Proficiency in risk identification, mitigation, and escalation.
• Exceptional organizational and multitasking abilities to manage dependencies and resource contentions.
• Advanced proficiency in program management tools, including Clarity PPM or similar.
• Excellent communication and stakeholder engagement skills, with the ability to partner with teams across various levels.
• Strong analytical skills to provide insights and recommend actionable solutions.
• Attention to detail with a focus on maintaining accurate documentation and reporting.
• Experience facilitating working groups and leading governance processes.
