Job Description

Position Overview:

The Accountant will manage the financial and inventory operations of the drinking water project, ensuring accurate accounting, reconciliation of accounts, and efficient handling of store receipts and issues. The role includes monitoring budgets, managing expenses, maintaining proper documentation, and supporting audits, while ensuring compliance with financial regulations and organizational policies.

Key Responsibilities:

1. Financial Management and Accounting

  • Maintain accurate and detailed records of all financial transactions related to the project.
  • Reconcile accounts, including bank statements, vendor accounts, and project expense accounts, to ensure accuracy and resolve discrepancies.
  • Process payments to contractors, suppliers, and vendors with proper documentation and approvals.
  • Manage petty cash transactions and maintain records for audit purposes.

2. Budgeting and Cost Control

  • Assist in preparing and monitoring project budgets in collaboration with project managers.
  • Track project expenses to ensure adherence to approved budgets and identify cost-saving opportunities.
  • Generate cost reports and variance analyses to support financial planning and decision-making.

3. Inventory Management

  • Maintain records of store receipts and issues, ensuring proper documentation for all materials.
  • Verify the receipt of materials, including pipes, fittings, and other project-related items, against purchase orders.
  • Monitor the issuance of materials from stores to site teams and contractors, ensuring proper approvals.
  • Conduct regular stock audits to ensure accurate inventory levels and minimize discrepancies.

4. Financial Reporting and Documentation

  • Prepare monthly, quarterly, and annual financial statements and reports for internal and external stakeholders.
  • Ensure compliance with financial regulations and project-specific reporting requirements.
  • Maintain proper documentation for all transactions, receipts, and inventory movements for audit and compliance purposes.

5. Compliance and Audit Support

  • Ensure adherence to financial and tax regulations, including GST and TDS compliance.
  • Support internal and external audits by providing necessary documentation and clarifications.
  • Implement audit recommendations to improve financial processes and controls.

6. Vendor and Contractor Coordination

  • Process and verify vendor bills and contractor payments, ensuring accuracy and alignment with contracts.
  • Reconcile vendor and contractor accounts to resolve disputes or discrepancies.
  • Maintain strong communication with vendors to ensure timely payment and smooth operations.

7. Financial Systems and Process Optimization

  • Use accounting software (e.g., Tally, SAP, or QuickBooks) to manage financial and inventory records efficiently.
  • Streamline financial and inventory processes to improve accuracy and reduce delays.
  • Implement best practices in financial management, reconciliation, and inventory control.

Key Skills and Qualifications:

Educational Background:

  • Bachelors degree in Accounting, Finance, or a related field.
  • Professional certifications such as Chartered Accountant (CA) or Cost and Management Accountant (CMA) are an advantage.

Experience:

  • 5+ years of accounting experience, preferably in infrastructure or water-related projects.
  • Hands-on experience with reconciliation of accounts and inventory management.

Skills:

  • Proficiency in accounting software (e.g., Tally, SAP, or QuickBooks) and advanced MS Excel skills.
  • Strong knowledge of financial regulations, taxation (GST, TDS), and compliance standards.
  • Experience in managing and reconciling financial accounts and inventory records.
  • Strong analytical skills with attention to detail and accuracy.
