Job description:

We are seeking a dedicated and highly organized Personal Assistant to provide comprehensive secretarial and administrative support in a timely and efficient manner. The ideal candidate will have excellent communication abilities, strong interpersonal skills, and the ability to multitask effectively in a fast-paced environment.

  • Managing general administrative and personal day to day tasks.
  • Serve as the primary point of contact between the Managing Director and internal/external stakeholders.
  • Manage incoming and outgoing phone calls, emails, and correspondence of the Managing Director with discretion.
  • Handle and resolve requests and queries from vendors and other parties.
  • Maintain and organize the Managing Directors calendar, including scheduling meetings, appointments, and events.
  • Collaborate with vendors and suppliers to ensure timely service deliveries are met as per the instructions of the Managing Director.
  • Oversee office operations and procedures to ensure efficient workflow and adherence to company policies.
  • Maintain the cleanliness and orderliness of the office, including common areas and meeting rooms.
  • Provide administrative support to various departments, including Sourcing, Human Resources, Finance, and Marketing, on behalf of the Managing Director as required.
  • Prepare and edit reports, presentations, and briefings.
  • Develop and maintain an effective filing system to ensure easy access to critical documents.
  • Oversee the review and processing of supplier bills and payments.
  • Coordinate with sister concerns and provide effective problem-solving support.
  • Assist with general administrative duties to ensure smooth office operations.

Skills and Qualifications:

  • A degree in MBA of any specialization is a must.
  • Proven experience in office administration or a similar role.
  • Proficient computer skills, including MS Office (Word, Excel, Outlook, PowerPoint) and office equipment handling.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills, both verbal and written.
  • Ability to work independently and collaborate effectively with colleagues.
  • Confidentiality, handle sensitive information and maintain confidentiality at all times.
  • Should have pleasing personality.Role & responsibilities
