Job Title: Accounts Receivable Specialist

Department: Finance/Accounts Reports To: Accounts Manager or Finance Manager Location: Mumbai

The Accounts Receivable Specialist is responsible for managing the organizations accounts receivable processes, ensuring timely invoicing, tracking customer payments, and maintaining accurate financial records. This role involves close coordination with internal teams and external customers to manage collections, resolve discrepancies, and ensure adherence to company policies.

1. Invoicing and Billing:

   • Generate and issue invoices to clients accurately and on time.
   • Verify and reconcile billing data with contracts, sales orders, and accounting records.

2. Payment Processing:

   • Monitor and process incoming payments from clients.
   • Apply payments to customer accounts and update records accordingly.

3. Collections and Follow-Up:

   • Proactively follow up with clients to ensure timely payment of invoices.
   • Manage outstanding balances and send reminders for overdue accounts.
   • Develop and implement strategies to reduce overdue payments and bad debts.

4. Account Reconciliation:

   • Reconcile accounts receivable ledger and ensure accuracy of data.
   • Investigate and resolve discrepancies or disputes with clients.

5. Reporting:

   • Prepare regular reports on accounts receivable status, aging reports, and collection performance.
   • Provide insights and recommendations to management based on trends and analysis.

6. Compliance:

   • Ensure compliance with accounting standards, company policies, and tax regulations.
   • Maintain confidentiality of financial and customer information.

7. Collaboration:

   • Work closely with the sales, operations, and customer service teams to address billing or payment issues.
   • Communicate effectively with clients to resolve disputes or concerns related to invoices.

• Education: Bachelors degree in Accounting, Finance, Business Administration, or a related field.
• Experience:
  • 2+ years of experience in accounts receivable, accounting, or finance roles.
  • Familiarity with invoicing software, accounting tools, and ERP systems (e.g., SAP, QuickBooks, Oracle, etc.).
• Technical Skills:
  • Strong knowledge of MS Office, especially Excel (VLOOKUPs, Pivot Tables).
  • Knowledge of accounting principles and financial regulations.

  • Strong problem-solving and analytical abilities.
  • Attention to detail and high level of accuracy.
  • Ability to work under pressure and meet deadlines.
