Job Summary:

We are seeking an experienced Document Officer to manage, organize, and control documentation processes in a petrochemical environment. The ideal candidate will have 10-15 years of experience in document control, records management, and compliance with industry standards, ensuring seamless workflow and regulatory adherence.

Key Responsibilities:

• Document Control & Management:
  
• Oversee the receipt, classification, filing, and retrieval of engineering, technical, and administrative documents.
• Maintain an efficient document control system ensuring accuracy, traceability, and compliance with company policies and industry regulations.
• Ensure proper version control and updates to prevent errors and inconsistencies.

• Compliance & Standards Adherence:
  
• Ensure all documentation aligns with ISO 9001, ISO 14001, API, and other relevant petrochemical industry standards.
• Support audits by maintaining and providing necessary records as required.

• Collaboration & Communication:
  
• Liaise with engineering, project, and operations teams to ensure timely availability of documents.
• Work closely with quality, safety, and regulatory teams to ensure document compliance with HSE standards.

• Software & Digital Systems Management:
  
• Utilize EDMS (Electronic Document Management Systems) such as Aconex, SharePoint, or Documentum for document tracking and storage.
• Ensure cybersecurity and confidentiality of critical business documents.

• Training & Process Improvement:
  
• Develop best practices for documentation workflows, ensuring efficiency and standardization across departments.
• Conduct training sessions on document control processes and software usage.

Key Requirements:

• Experience: 12-15 years in document control/document management in the petrochemical, oil & gas, or refinery industry.
• Education: Bachelor’s degree or relevant certification in document management, engineering, or business administration.

• Technical Skills:
• Proficiency in EDMS tools (Aconex, Documentum, SharePoint, etc.).
• Strong knowledge of industry standards such as ISO 9001, OSHA, and API regulations.
• Advanced MS Office skills (Excel, Word, PowerPoint).

• Soft Skills:
• Strong organizational and analytical skills.
• Excellent communication and stakeholder management abilities.
• High attention to detail with problem-solving capabilities.

Preferred Qualifications:

• Experience in managing engineering documents and technical drawings.
• Familiarity with HSE documentation and compliance reporting.
• Knowledge of SAP or ERP systems for document integration.
