Immigration and HR Operations Specialist

Role & responsibilities

• Visa & Immigration Management:
• Oversee the preparation, submission, and tracking of visa applications, including H-1B, L-1, O-1, TN, F-1 OPT/CPT, and other work-related visas for employees.
• Collaborate with external immigration attorneys to provide accurate advice and resolve issues related to immigration cases.
• Track employee visa statuses and alert HR and employees to important deadlines (e.g., visa renewals, extensions, status changes).
• Ensure compliance with US immigration regulations and company policies related to work authorization.
• HR Operations Support:
• Assist with the onboarding process for employees, ensuring proper documentation for new hires, including work authorization and immigration status.
• Maintain employee records, including visa status updates, expiration dates, and associated documentation, in HRIS (Human Resources Information System).
• Coordinate and manage employee travel requirements related to visa processing (e.g., consulate appointments, embassy documentation).
• Compliance & Reporting:
• Ensure compliance with US immigration laws (e.g., I-9 documentation, E-Verify, H-1B public access files).
• Generate reports on visa and immigration status for HR and leadership teams to ensure visibility of compliance.
• Review and audit immigration-related documents and practices to ensure legal compliance with federal and state regulations.
• Employee Support:
• Serve as a point of contact for employees with visa or immigration-related questions.
• Provide guidance on the visa application process and assist in navigating any challenges that arise.
• Manage communication with government agencies such as USCIS (U.S. Citizenship and Immigration Services) and the Department of Labor regarding immigration petitions and visa statuses.
