Operations Executive

Role & Responsibilities:-

• Purchasing & Goods Delivery:

- Prepare comprehensive purchase orders, ensuring all necessary details are included

- Seek approval from co-founders prior to finalizing orders

- Place orders and monitor for any potential delays

- Monitor and ensure timely delivery of goods to the facility, verifying their condition upon arrival

• Customs:

- Coordinate with the clearing agent, and address any issues that may arise, only if need be

• Coordinate with Manufacturing/Job Work Vendors:

- Ensure products and materials required for manufacturing/job work are delivered to vendors in good quality and on time

- Collect and review reports of goods received by the vendors

- Maintain detailed reports of all interactions with vendors, including meeting minutes

• Coordinate with Warehouse:

- Ensure products reach the warehouse in good quality and on time, and create corresponding documentation for sharing

- Keep accurate records of goods received by the warehouse

- Draft and revise packaging and last-mile SOPs for the warehouse as needed

- Maintain detailed reports of all interactions with vendors, including meeting minutes

- Monitor stock levels in the software and notify the co-founder for new orders

• Repairs and Returns:

- Ensure that products flagged by clients or the warehouse are repaired, returned, or replaced

• Regular Visits to Vendors for Process Checks:

- Build and maintain strong relationships with vendors to foster trust and long-term collaboration

- Conduct regular visits to monitor processes and ensure correct methods are being followed

• Quality Assurance:

- Conduct thorough inspections of each product before they are dispatched from the vendors end

- Document findings and maintain detailed records

- Create documentation, including photo and video evidence, of any defective items, and coordinate with manufacturing vendors for refunds or replacements

• Analysis and Reporting:

- Create bi-weekly analysis and reports of work done, targets achieved, problems faced and solved and way forward
