Job Summary:

We are looking for a reliable and detail-oriented Office Assistant with Travel Desk experience to join our team. The ideal candidate will have a strong administrative background, excellent organizational skills, and a proven track record of handling travel logistics. This role requires the ability to support both office operations and manage travel arrangements efficiently while providing top-notch service to employees.

Key Responsibilities:

Administrative Support:

  • Answer and direct phone calls, emails, and general inquiries.
  • Manage office supplies, including ordering and inventory control.
  • Organize and maintain office files, documents, and records, both physical and electronic.
  • Prepare and proofread documents, reports, and presentations.
  • Support daily office operations and assist with various administrative tasks as required.

Travel Desk Responsibilities:

  • Manage travel bookings for employees, including flights, hotel reservations, car rentals, and ground transportation.
  • Serve as the primary point of contact for employees regarding travel-related inquiries and changes to itineraries.
  • Ensure that travel arrangements comply with company policies, travel guidelines, and budget constraints.
  • Track and report on travel expenses, ensuring proper documentation and adherence to corporate policies.
  • Assist in resolving any travel issues or disruptions, including cancellations, rebookings, and changes to travel plans.
  • Provide assistance and support to employees during travel, ensuring smooth and hassle-free travel experiences.
  • Maintain and update travel-related records and databases.

  • Experience:
    • At least 1-2 years of experience in office administration, with a focus on office management and scheduling.
    • At least 1-2 years of experience in a travel desk or travel coordination role, handling travel bookings and inquiries.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Ability to handle sensitive information with confidentiality and professionalism.
    • Strong customer service skills and a problem-solving mindset.
