Job Description

A Senior Manager of Administration typically plays a key role in ensuring the smooth and efficient operation of an organizations administrative processes. They oversee various departments or functions, manage resources, and ensure that the company's infrastructure supports overall business objectives. Here's a typical job description:


Job Title: Senior Manager Administration


Role & responsibilities


Key Responsibilities:


  1. Leadership and Team Management:
    • Lead and supervise a team of administrative staff, including office managers, assistants, and support personnel.
    • Provide direction, mentorship, and performance evaluations for administrative teams.
    • Foster a collaborative and positive work environment to enhance team performance.
  2. Office Operations:
    • Manage day-to-day operations of the administrative functions, including facilities management, office supplies, and equipment maintenance.
    • Ensure the office environment is safe, efficient, and well-organized.
    • Oversee vendor management and negotiate contracts for office supplies, equipment, and services.
  3. Budget and Resource Management:
    • Prepare and manage the Annual Administrative Budget for the location, including facility management, procurement, and maintenance costs.
    • Monitor expenditures and ensure alignment with budgetary constraints, providing regular reports to senior management regarding budget status and variances.
    • Evaluate and recommend cost-effective solutions to optimize administrative functions while maintaining high operational standards.
  4. Policy and Procedure Development:
    • Develop and implement policies and procedures to streamline administrative workflows and ensure compliance with company standards.
    • Monitor adherence to company policies, safety protocols, and operational guidelines.
  5. Facilities Management:
    • Oversee the operation, maintenance, and troubleshooting of heavy machinery and facilities equipment including Air Conditioning (AC) Plants, UPS systems, DG Sets,and other critical building infrastructure.
    • Coordinate with external vendors and service providers for regular maintenance, emergency repairs, and upgrades.
    • Ensure the proper functioning of all mechanical, electrical, and HVAC systems to guarantee a comfortable and safe working environment.
  6. Communication & Coordination:
    • Act as the main point of contact for administrative issues across departments.
    • Provide communication support for senior leadership and other departments.
    • Organize and coordinate meetings, travel, and events as needed.
  7. Technology and Systems Support:
    • Oversee administrative technologies, office management systems, and IT support functions.
    • Ensure the seamless operation of office software and equipment, working closely with the IT department if needed.
  8. Employee Support:
    • Provide general employee support related to office functions.
  9. Compliance and Reporting:
    • Ensure that the office is compliant with all relevant laws and regulations (health & safety, labor laws, etc.).
    • Prepare reports for senior management on administrative metrics, performance, and operational status.



Preferred candidate profile


  • Bachelor's degree in Business Administration, Management, or a related field (Masters preferred).
  • Minimum of 8-12 years of experience in administrative management or office management.
  • Technical expertise in major machinery and equipment, they also have a background in the armed forces.
  • Strong leadership skills with the ability to manage and motivate teams.
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Problem-solving abilities with a focus on process improvement.
  • Budget management and financial oversight experience.
  • Proficiency in office software (e.g., MS Office, Google Workspace, etc.) and administrative systems.
  • Knowledge of facilities management, vendor relations, and compliance standards.
