Job Description


About the Role

We are seeking a motivated and detail-oriented Executive Assistant & Office Manager to support the management and expansion of our real estate portfolio. This role will focus on overseeing daily operations, assisting with real estate transactions, managing rental properties, and ensuring the smooth functioning of our business processes. If you have excellent organizational skills, a proactive mindset, and a passion for real estate, this position is for you.


Work Timings

  • Flexible hours, allowing you to manage your own time effectively.
  • Availability required from 8 PM to midnight for pre-scheduled calls.
  • Workdays: Monday to Saturday.

Responsibilities

Real Estate Transactions

  • Assist in the acquisition, sale, and rental of real estate assets, including preparing and reviewing documents, coordinating with agents, and managing timelines.
  • Research potential investment opportunities, including market trends, property values, and potential ROI.
  • Coordinate property inspections, appraisals, and closings.
  • Build and maintain strong relationships with real estate agents, lenders, contractors, and other stakeholders.

Property Management

  • Oversee the day-to-day management of rental properties, including tenant communications, lease renewals, and handling maintenance requests.
  • Manage property listings, marketing vacant units, and screening tenants.
  • Coordinate with contractors and service providers for repairs, renovations, and maintenance.
  • Maintain up-to-date records of rental agreements, expenses, and income.

Administrative Support

  • Serve as the primary point of contact for administrative inquiries and ensure efficient operations of the office.
  • Develop and implement organizational processes, including document management and task tracking.
  • Handle scheduling, meeting coordination, and email management.
  • Ensure deadlines and priorities are met across multiple projects.

Financial and Accounting Support

  • Assist with accounting tasks, including maintaining expense reports, tracking income and expenses, and reconciling accounts.
  • Support budgeting, financial forecasting, and preparation of reports for property performance.
  • Work closely with accountants to ensure accurate and timely tax preparation and filings.

Research and Productivity

  • Conduct web research on a variety of topics, including real estate trends, tools, and strategies.
  • Learn and implement new productivity tools and software to optimize workflows.
  • Create and maintain spreadsheets, documents, and presentations using Google Sheets, Docs, and other tools.

General Office Management

  • Manage office supplies, equipment, and vendor relationships.
  • Oversee correspondence and ensure clear communication within the team and with external partners.
  • Coordinate travel arrangements, event planning, and other logistics as needed.
  • Handle confidential information with discretion and maintain professionalism at all times.

Requirements

  • Education: Bachelors degree in Business Administration, Real Estate, or a related field (preferred but not required).
  • Experience: Minimum 3 years in an administrative, real estate, or property management role.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Google Workspace (Sheets, Docs, Slides) and other productivity tools.
  • Ability to work independently, learn quickly, and adapt to new challenges.
  • Basic knowledge of real estate transactions, property management, and accounting is highly desirable.
